Responsibilities:

  • Assisting Senior Associates in managing and maintaining client relationships.
  • Assisting Senior Wealth Advisors delivering wealth management services to clients.
  • Responding to client inquiries and provide timely and accurate information.
  • Performing general administrative tasks related to account management, such as preparing documents, DocuSign, daily reports, KYC, client communication, client-related materials.
  • Assisting Senior Associates in preparing and coordinating client meetings, including agendas, presentations, meeting materials, and follow-ups.
  • Preparing quarterly client reports with a high attention to detail.
  • Supporting the delivery of family office services by preparing tax documentation as requested by the Senior Associate or the Senior Tax Advisor, Wealth Planning, including:
  • Administration of trust documentation.
  • Reports for corporate T2 and Trust T3 returns.
  • Tax slips for accountants/clients.
  • Requests for information from accountants.
  • Data inputs to assist in preparation of financial plans.
  • Working closely with the Senior Wealth Advisors/Senior Portfolio Managers to support WOFO’s insurance business, including:
  • Preparing advisors for client meetings related to insurance, including preparation of documentation, product research.
  • Preparing client insurance applications, engage and follow up with insurance carriers on the various stages of underwriting.
  • Attending client meetings, as requested.
  • Reconciling insurance commissions.
  • Establishing and maintaining insurance policies and procedures manual.
  • Keeping abreast of insurance policy, procedure and compliance changes within the firm, insurance carriers and the insurance industry.
  • Participating in team meetings and contribute to the development of best practices and process improvements.
  • Collaborating with internal teams, including investment, compliance, and operations, to deliver comprehensive wealth management solutions.
  • Staying up to date on firm and industry administrative and compliance policies and procedures and keep WOFO staff informed.
  • Maintaining up-to-date client records and documentation.
  • Utilizing CRM tool (Maximizer) to efficiently manage tasks and maintain client documentation.
  • Ensuring compliance with regulatory requirements and company policies and maintaining exemplary client files.
  • Performing other duties as assigned.
