JOB SUMMARY

Your primary roles include providing administrative support to the Relationship Manager and assisting clients of the Corporate & Shareholder Services division with day-to-day administrative tasks. You will support daily operations of the company and implement efficient administrative procedures. In this role you should be an excellent communicator who is able to grasp the client’s needs and brainstorm ways to fulfill them. If you also have a background in customer service and knowledge of the transfer agent or securities industry, we would like to meet you!

FORMAL EDUCATION OR EXPERIENCE:

  • Minimum 2 years’ experience in transfer agent or financial services industry.
  • Post-secondary education is an asset.
  • Previous experience in direct customer service is required.

SPECIALIZED SKILLS OR KNOWLEDGE:

  • Bilingual in French and English communication both written and spoken is an asset
  • Intermediate level of Microsoft Outlook, Word and Excel.
  • Successful completion of a Criminal Background check and fingerprinting to comply with United States Securities and Exchange Commission requirements.

Responsibilities:

  • Uphold the division and Olympia’s reputation and values, while promoting our motto “With Us, It’s Personal” in all interactions with employees, clients, and business associates.
  • Represent Olympia Trust Company in supporting a portfolio of private and publicly traded companies, including dealing with legal counsel and/or senior officers of client companies on a variety of matters.
  • Administration of securityholder meetings, including set-up processes, proxy tabulation and attendance at meetings.
  • Coordinate securityholder mailings.
  • Responding to inquiries from securityholders, their representatives and members of the investment industry.
  • Prepare securityholder analytical reports for clients upon request.
  • Ensure ongoing compliance with Olympia Trust Company policies and procedures.
  • Ensure billing for applicable services is accurately recorded.
  • Assist on strategic projects, as assigned.
  • Maintain an understanding of Anti‐Money Laundering (AML) policies and procedures.
  • Work closely with other departments of Olympia Trust Company to ensure a positive overall experience for all clients and their investors.
  • Flexible to perform various assigned tasks as requested by management and executives.
