DESCRIPTION:

Under general supervision, provides a variety of athletic facility related services in a highly customer service orientated environment; assisting with and monitoring access for the health, safety and security of the facility, issuing towels, keys and equipment, setting up, dismantling and storing equipment for co-curricular and curricular programs and performing laundry duties and repair, cleaning and maintenance.
The main focus for the employee, while performing the tasks listed below, is to provide all members with a high standard of customer service in accordance with standard operational procedures. Flexibility of the employee to perform a wide variety of duties and be able to attend to multiple tasks is necessary in successfully fulfilling the requirements of this position. The degree to where and when the employee performs each of the following tasks listed below will vary according to where and when the employee is scheduled to work.

Duties and Responsibilities
(a) Building Security and Safety
Checks membership cards (including student id cards); approves or denies entry to the facility, providing explanation of regulations as required and directs to other areas when appropriate. Permits entry of participants and spectators of events as instructed.
Performs walk arounds of the indoor and outdoor facilities to monitor physical activity areas, locker rooms, shower areas, washrooms, stairwells and other public areas; checks for potential safety/security/maintenance problems, for authorized use of activity areas (per schedules) and generally for user compliance with building (and other posted) regulations; checks and secures doors as required and/or unlocks doors as specified in standard operating procedures or daily instructions; reports safety/security/maintenance deficiencies to supervisor. when Manager or Assistant Facility Manager is not available, reports emergency safety/security/maintenance to either U of T police or Physical Plant; asks unauthorized users to vacate premises; refers problems and emergencies to supervisor.
Performs assigned evacuation and security duties during emergency situations.
Completes log report of monitoring rounds, noting deficiencies and problems.
Responds appropriately to emergency first aid and safety situations in accordance with standard operating and emergency procedures and completes appropriate injury/incident report.
Performs final rounds and lock-up of buildings, according to standard operating procedure; ensures that the facility is cleared of all personnel and users before lock-up.
In the absence of supervisors, assumes a lead role in maintaining the general operations of the facility ensuring work flow and appropriate coverage, reporting all action taken to the supervisors.
(b) Customer Service
Provides general information at equipment and towel counters and by telephone re: facilities, schedules, memberships, fees, services and activities. Refers inquiries to other relevant program and/or service area as required.
As a first responder, proactively stays informed of services and program changes and offerings in order to respond to conflicts or unexpected program cancellations and resolves when possible. Informs the appropriate Manager or program supervisor of the conflict requiring follow up and resolution.
Books squash and tennis courts according to standard operating procedures when main office is closed.
Issues and receives towels, rags, keys, recreational, fitness, intramural and intercollegiate athletic equipment to/from facility users who present proper identification according to standard operating procedures.
Projects a positive professional image of the facility in dress and behavior at all times while on duty.
Serves as front-line reception for complaints, emergencies and requests for assistance/service from a diverse population of members and visitors.
Responds quickly to crisis situations requiring independent, timely decision making skills in a fast paced environment; handling and/or redirecting inquiries as appropriate.
Provides support to part time staff in all aspects of the day to day operations.
(c) General Services
Assists the Managers with communication by liaising with contractors, trades people, police, fire prevention officers, caretakers, ambulance personnel, students, staff and faculty.
Prepares laundry for washing according to standard operating procedures, sorts soiled laundry received, loads and unloads laundry into commercial washing and drying machines; adds soap and cleaning agents as required; folds and hangs items on completion as necessary.
Maintains and operates commercial washers, extractors and dryers, cleaning or performing minor maintenance to machines as necessary. Notifies supervisor when service personnel should be called, and liaises with service personnel to relay information for proper repairs.
Maintains inventory of towels, soap, laundry chemicals, recreational, intramural and varsity athletic equipment and uniforms, records the number of cleaned towels assigned to various areas and athletic teams. Notifies supervisor when supplies are low.
Responsible for the safe handling of hazardous, highly concentrated laundry chemicals.
Sets up equipment and other apparatus related to the co-curricular and curricular programs such as speakers, score clocks, audiovisual equipment, flip charts, tables, chairs, bleachers, etc. in accordance with regular program schedules and special events or requests from staff and faculty. Dismantles, moves and stores activity or classroom equipment and event furnishings as required (includes operating by key, electronically controlled basketball backstops and gymnasium dividing curtains.)
Ensures equipment and materials are stored in an orderly fashion, moves furniture and equipment as required including the fitness equipment storage cages and barrels filled with laundry product.
Performs repairs, cleaning and preventative maintenance to exercise fitness equipment, including recharging and/or replacing batteries in score and wall clocks and batteries for fitness microphones.
Maintains information in the following logs in accordance with standard operating procedures for the purposes of inventory, tracking loss, damage and usage: towel log, delivering/receiving log, repair log, key sign out, equipment maintenance and sign out, contractor log, lost and found and other related logs.
Cleans lockers, removes belongings which are inappropriately stored there, records and stores items removed; helps maintain locker room cleanliness performing light housekeeping tasks. Repairs lockers i.e. installs plates, numbers, etc.
Performs seasonal locker clean outs, cutting locks as required; removes belongings, records and stores items removed in the designated area for pick up.
Responsible for the maintenance, sanitizing and cleanliness of all relevant work areas, i.e. fitness equipment, equipment counter, towel counter, storage areas and laundry area.
Receives and logs incoming deliveries and contacts the individual/ office to which the delivery is addressed and/or delivers items appropriately.
(d) Other
Liaise with and provide service to contractors, rental groups, media, campus tours, U of T police, fire department and property management.
May perform minor maintenance work as required.
Assists with staff orientations, basic job training and performance of assigned tasks.
Provides guidance and assistance to apprentices, interns and others as directed.
May issue and sell guest passes when main office is closed.
May assist with mailings or promotions including folding, collating print materials (posters, notices, letters, etc.), addresses/stuffs envelopes and related items for special mailings/events.
Provides input into the design and implementation of operational procedures and building projects.
Other related duties as required.
Minimum Requirements for Selection
Education: Completion of Grade 12 or acceptable equivalent combination of education and experience. Must successfully complete a current recognized Standard First Aid, AED, and CPR certificate within the probationary period.
Experience: A minimum of one year of related experience in a customer service orientated position. Familiarity with athletic facilities, equipment and/or programs.
Other: Basic computer skills, ability to perform the essential physical functional requirements of the position. Must possess excellent oral communication skills, considerable public-relations skills, diplomacy and tact, conflict management skills; ability to deal calmly with angry or upset individuals; basic reading and writing skills; ability to exercise good judgment and initiative; ability to resolve problems; ability to participate effectively within a team; understanding of diversity and equity issues.
Demonstrated ability in the following areas: following written and oral instructions; dealing courteously and effectively with students, University staff, faculty, the public and team members; and the ability to provide information in a clear and concise manner.
