Attendance and Office Administrator
Permanent, term time only (38 weeks + INSET days where required)
33 hours and 30 minutes per week
Payscale: Grade 4
Responsible to: Business and Finance Manager
Main purpose of the job: To be responsible for supporting the Attendance Officer and the Office and Communications Lead, completing and monitoring daily attendance throughout the academy to agreed annual targets, meeting all statutory and legal requirements and supporting the academy staff with office and administration tasks.
Duties and Responsibilities to include:
• To assist the Attendance Officer in producing reports and statistics for key identified groups and present data to key staff groups
• To assist with the improvement of attendance throughout the Academy and to meet or exceed the academy attendance annual targets
• To be responsible for the Arbor Attendance System – recording, monitoring and identifying absence to identify trends and to intervene appropriately
• To act as a point of contact to parents in relation to attendance. Telephoning parents to discuss absence in a sensitive but firm manner and building positive relationships with parents and developing strategies to improve attendance
• In consultation with Deputy Headteacher, to recommend action to be taken, and develop strategies to combat unauthorised and authorised absences
• To interview parents to discuss pupil attendance and agree planned improvements
• To provide attendance information for school reports
• To monitor late arrivals
• Assisting with pupil welfare matters, first aid & medicines (including First Aid training), including contacting parents and staff and maintaining incident records
• Processing of school documentation as requested by the academy team
• To undertake photocopying, filing and general office duties for the academy team
• To take part in the school Performance Management process
• Produce a half termly report for the Attendance Officer on attendance including interpretation of information relating to attendance patterns in the academy and any other reporting on attendance as required
• To assist and check records prior to the census to ensure academy attendance is accurate and up to date
• Updating, logging and monitoring all Free School Meal (FSM) requirements which will include, but not limited to, uniform allocations, meals and milk•
Liaise with designated colleagues for child protection
• Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person
• Be aware of and support difference and ensure all pupils have equal access to opportunities to learn and develop
• Contribute to the overall ethos/work/aims of the school
• Appreciate and support the role of other professionals
• Attend and participate in relevant meetings as required
• Participate in training and other learning activities and performance development as required.
