Reporting to the Manager, Strategic Planning & Technology Deployment (IT), with regular day to day reporting to the Supervisor, Technical Event Production Services, the AV Support Clerk (Events) is responsible for the provision of courteous and efficient Special Event support with stakeholders both internally and externally. The incumbent assists the Technical Event Production Services (TEPS) team to provide support for Special Events, exhibitions, and online streaming, and works with the TEPS team to ensure stakeholder needs are well understood, documented and supported. In collaboration with the Audio Visual team and IT Services staff work to improve and maximize the technology experience on campus for the OCAD U community.

Qualifications:

  • Post-secondary diploma in Information Technology Support, or equivalent
  • Post-secondary degree in Art or Design is an asset
  • A minimum of one (1) year of work or educational experience relating to event and/or audio visual technical support or equivalent combination of work and education
  • Demonstrated interpersonal skills and strength in customer service
  • Demonstrated ability to work independently and participate collaboratively in a team environment
  • Experience with troubleshooting both analog and digital audio/visual equipment
  • Experience troubleshooting and working with both Microsoft Windows and Macintosh based operating systems and their integration with audio/visual or digital presentation technologies
  • Knowledge or experience working with the following technologies: Microsoft Windows, Mac OS X; Android, IOS, Microsoft Office 365 including Outlook, OneDrive, Teams, Zoom, OBS, Youtube Live, Facebook Live, Lecture Capture, Word, and Excel; SharePoint; audio/visual systems; digital cameras; projectors; video conferencingKnowledge and experience working with professional event and staging equipment, including lighting, audio equipment, cabling, power, projectors, truss and support systems, and the proper use, care and storage of this equipment
  • Demonstrated commitment to the principles of equity and diversity, and experience promoting a respectful work and learning environment for students, staff and faculty
  • Strong organizational skills, attention to detail, and the ability to prioritize, multi-task and meet deadlines
  • Excellent oral, written communication skills and email etiquette;

  • Must be willing and able to work evening and weekend shifts, as require

Responsibilities:

  • Working alongside the Technical Event Production Services Team, provide assistance and technical production services for OCAD U events and exhibitions including but not limited to, Orientation Days & Big Welcome, Nuit Blanche, President’s Town-hall, Festival of The Body, Ontario University Fair, Convocation and the annual Graduate Exhibition
  • Assist TEPS team with Technical Exhibition support for on-going exhibitions & events within the OCADU Gallery Exhibition Services System including the Graduate Gallery, Experimental Media Gallery, The Onsite professional Gallery, Ada Slaight Gallery, Ignite Gallery, The Great Hall and Open Gallery at 49 McCaul.
  • With direction from the Technical Event Production Supervisor complete physical installations and provide support for technical aspects of ongoing and upcoming exhibitions at Onsite Gallery
  • Assist with set-up and provide installation services and technical support for on/off campus exhibitions and projects, with direction from TEPS Supervisor, including mounting or installation of technical equipment for large scale events or individual artist projects and exhibitions
  • Assist with provision of high level virtual online meeting and event support services including testing, handling content, troubleshooting, liaising, consulting and supporting end-users
  • Prepare and provide post-event content to customers, including event recordings, chat transcripts, and other data
  • Set up and operate equipment for university-sponsored events, including curricular, external, OCAD U promotional, and conferences, both local and international
  • Provide backup operation of livestreaming software (e.g. OBS Studio, YouTube Live, Facebook Live, etc.) to broadcast productions to online audiences
  • Assist with calibration of audio and video systems, ensuring all technical aspects are functioning correctly for a successful event production
  • Assist with operation of audio mixers/consoles to deliver optimal sound quality, including but not limited to audio mixing and monitoring microphone levels
  • Assist with operation of video switchers to seamlessly transition between camera feeds, graphics, presentations, and other video sources during live productions
  • Address and troubleshoot unexpected issues and technical difficulties to minimize disruptions during productions
  • Assist the TEPS team with setup of online events, organizing rehearsals, testing video and audio, uploading presentations and other content sharing, and running and troubleshooting technology and software during live presentations/events
  • Provide hands-on, high-level support for the Inclusive Design Research Centre (IDRC) Conference and Board Rooms for OCAD U stakeholders including faculty and staff, Board of Governors, Senate and other committees, ensuring that collaboration technology is serving the needs of the users and assisting with meetings and special events
  • Provide support for collaboration spaces on campus including Microsoft Teams enabled meeting rooms and classrooms
  • Provide support in Academic spaces for collaboration technology including collaboration carts, webcams, microphones and collaboration software including, but not limited to, Microsoft Teams and Zoom
  • Work with the Technical Event Production Supervisor to create and maintain TEPS knowledgebase articles that provide comprehensive guidelines on the process for requesting support for events and exhibitions
  • Provide equipment circulation services including AV, computer, and digital equipment to authorized University personnel using the Web Checkout circulation system
  • Use the IT Services Ticketing System and MS Planner to keep track of tasks and report on progress
  • Working collaboratively with other IT Services and Academic Computing staff, assist with ongoing help desk, network or information systems related projects as delegated by the Manager, Strategic Planning & Technology Deployment (IT)
  • Provide feedback for effective and efficient provision of event and meeting support to OCAD U students, faculty, academic staff, administrative staff, and managers
  • Provide input to the Audio Visual team to improve and broaden the scope and utilization of classroom and meeting room technology throughout the campus, including support for online and hybrid modes of curriculum delivery, with a focus on supporting end-users and improving their experience
  • Maintain currency in relevant technologies, including multimedia classroom technology, livestreaming technology, audio/visual, online collaboration, video conferencing, assistive technologies, operating systems, and computer hardware and knowledge of major video conferencing platforms (e.g. Teams, Zoom, etc.)
  • Support change throughout the IT landscape; advocate, promote and support rollouts and upgrades to new and existing audio/visual services
  • Support Manager, Strategic Planning & Technology Deployment in other related duties that contribute to the successful operation of IT Services

Compensation: OPSEU Unit I, Appendix A, Grade A2; $42,729.45 to $58,762.95 per annum
Hours of Work: Monday to Friday, for a total of 35 hours per week.
