Description:
SPECIAL ORDERS
- Responding to all incoming emails to the info@ and other shared office accounts, and seeing all queries, requests, and orders through to completion and ensuring the inbox is cleared (or un-actioned emails marked) at the end of each day.
- Answering calls through to the order line and checking voice messages each day on the phone.
- Taking orders and sending invoices over the phone, online and in person at the shop - seeing them through to completion.
- Monitoring payments and outstanding invoices according to our pre-payment policy.
- Ensuring all invoices are paid by the deadlines, cancelling orders when needed and keeping a waitlist of orders to fill any last minute slot availability.
- Providing a knowledgeable, professional and friendly service to all clients.
- Keeping track of all seasonal product orders and corresponding stock levels (such as Christmas hampers) under the guidance of the General Manager and Head Baker.
- Communicating with the Head Baker each day so you are aware of the kitchen’s schedule and any special products available or needing to promote and/or event impacting kitchen capacity.
- Having a full knowledge of the full cake menu and Violet ethos, so as to be able to offer recommendations and suggestions to clients and drive sales.
- Understanding allergens and clearly letting customers know we work with certain allergens in our small kitchen.
- Be responsible for the Masters document on Airtable and ensure all information on that document is correct and up-to-date for the Kitchen and Front of House Teams.

Responsibilities:
JOB PURPOSE
- To be the bakery’s key point of contact for customers.
- To ensure an efficient and accurate ordering process is followed and executed accurately, to ensure:
- all orders are processed in an efficient, timely manner;
- our bakers are provided with the information they need, when they need it;
- our bakery schedule is maximised but baker workload dispersed;
- we deliver the highest levels of customer service and hospitality for our clients.
- To ensure all associated cake add-ons are ordered and prepared in advance, such as banners, Perspex boards, flowers and courier services.
- To assist the General Manager and Business Owner with bespoke, wholesale and catering orders and enquires.
- To assist in any other ad hoc administrative or shop duties as and when required by the General Manager or the owner of the business.
JOB DUTIES

SHOP DUTIES
- Assisting in the shop to fill in for shop staff breaks, as well as busy rushes as occasionally required.
- Assisting the Shop Manager in making sure retail products are packaged so they can be displayed in the shop and sold.
