POSITION SUMMARY

Under the direction of the Senior Director of HR Operations, the benefits specialist is responsible for independently managing all day-to-day benefits/compliance administration and employee retirement plans, ensuring that the full suite of benefits programs and resources provide a seamless and service-focused experience for staff. This position will serve as the benefits subject matter expert and primary point of contact for all employee-related benefit questions. In this role you will be responsible for the accurate and timely compliance preparation and processing of all local, state and federal reports including, but not limited to, HCSO, HCAO, EEO1 and California Pay data reporting. This position requires maintaining a comprehensive understanding of our benefit plans, working with our vendor partners, and effectively communicating relative benefits information to all employees as needed.
Along with benefits administration, this position will serve as a backup for our leave of absence programs; but also perform a variety of specialized and analytical duties involved in coordinating, monitoring and processing workers compensation claims; maintaining case history documentation; contacting and interviewing injured workers and serving as a technical resource to employees concerning Workers Compensation.

QUALIFICATIONS

  • 3+ years of direct benefits experience
  • Knowledgeable of HRIS payrolls systems, preferably ADP Workforce Now.
  • Direct experience and knowledge of federal, state, and local regulations pertaining to leaves of absence
  • Knowledge of HIPAA and Health & Wellness audit and compliance regulations
  • Extensive knowledge of employee benefits, workers compensation and applicable laws.
  • Exceptional communication skills are required; must have the ability to deal with confidential information.
  • Excellent customer service, interpersonal, and communication skills
  • Highly organized with keen attention to detail; ability to prioritize, multi-task, and manage competing deadlines
  • High degree of professionalism, integrity, and confidentiality; able to demonstrate discretion in handling highly sensitive material and information
  • Strong grasp of basic mathematical functions. Ability to perform mathematical calculations with speed and high degree of accuracy.
  • Strong computer proficiency with MS Office. Excellent computer proficiency with MS Excel, ability to work with macros and pivot tables.
    Work Environment:
    GLIDE’s buildings are located in the Tenderloin neighborhood.
    GLIDE maintains an “open door” policy for the community and its clients, who frequently enter and leave the building

Responsibilities:

  • In partnership with the Senior Director of HR Operations administer GLIDE’s employee benefits program, notably its health and dental insurance, 403(B) plan, health & wellness, Life, AD&D & disability insurance, EAP and FSA plans.
  • Routinely perform benefits administration to include claims resolution, change reporting, creating invoices for payment.
  • As the first point of contact for staff, you will communicate effectively with employees to educate them on the company’s benefits, ensure that all new hires receive orientation and create a system to ensure staff successfully enroll in all benefit plans.
  • Maintain accurate records and reports related to employee benefits; this includes monitoring enrollment, plan updates, claims, invoicing, and associated costs.
  • Partners with brokers in planning and administration of annual open enrollment process including, but not limited to, distribution of materials, conducting meetings to communicate changes to employees, arranging for on-site representation by providers and processing changes within deadlines.
  • In partnership with Brokers, respond to benefits inquiries from staff on plan provisions, benefits enrollments, status changes and other general inquiries.
  • Responsible for enrolling, changing employee information and terminating employees in all benefits plans.
  • Enrolls employees with carriers and processes life status changes in ADP HRIS system.
  • Ensures the accuracy of all benefits file feeds for enrollments in the HRIS, so that each benefit vendors
  • receives accurate and timely eligibility information.
  • Reconcile benefits program costs through review of payroll deductions, general ledger reporting, and carrier invoices.
  • May participate in benchmarking surveys to evaluate the competitiveness of the company’s benefits offerings.
  • Assists Human Resources Manager with tracking and processing all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA.
  • Responds to general 403 (b) inquiries from managers and employees relating to enrollments, plan changes and contribution amounts.
  • Monitors, coordinates and processes Workers Compensation claims; receives and reviews claim forms; maintains adequate supply of forms; provides forms to employees, supervisors and others as requested.
  • Performs a variety of specialized and analytical duties involved in Workers Compensation claims and processing; assures compliance with applicable laws, codes, rules and regulations; maintains knowledge of current legislation regarding Workers Compensation issues.
  • Serves as a technical resource to employees concerning Workers Compensation; responds to inquiries and provides technical information concerning related laws, codes, rules, regulations, policies and procedures; responds to calls from employees, third party administrators, physicians, and medical facilities.
  • Prepares and maintains a variety of records, logs, correspondence, files related to assigned activities and maintains OSHA records.
