As a Benefits Administration Specialist based in London, you will oversee the daily management of the company’s UK benefits, including insured benefits and our employee wellbeing programme. You will work with the Head of Benefits to track, review and develop benefit offerings, comparing to the local markets, ensuring overall employee benefits and wellness are competitive and appropriate.

  • Proven experience in benefits administration.
  • Ability to relate to and interpret business processes.
  • Ability to prepare accurate documentation with a high standard of presentation and confidentiality.
  • Adaptable with the ability to work under pressure in a team environment.
  • Ability to manage a high volume of work with attention to detail and good organisational skills.
  • Ability to work on your own initiative diligently and without constant supervision, applying analytical thinking and problem-solving skills.
  • Ability to work within a team, collaboratively and pro-actively sharing information and working within the team guidelines and parameters.
  • Excellent communication skills to work effectively within the team and with employees.
  • Proficiency in Excel.

Responsibilities:

  • Serve as the primary point of contact for UK employees regarding benefit enquiries, enrolment processes and claims, providing clear and accurate information while maintaining a high level of confidentiality.
  • Maintain a high standard of customer quality, taking ownership and accountability for employee enquiries and issues, identifying and prioritising areas requiring immediate attention and escalating as necessary.
  • Manage and co-ordinate the benefit renewal process with the benefit brokers and the flexible benefit system provider
  • Ensure the benefits and intranet sites remain up to date and current ensuring information is correct and relevant.
  • Work with the Head of Benefits, partnering with external benefit providers, HR, and Internal Communications teams to develop and implement communication strategies to promote, inform and educate employees about their benefits, including workshops, written materials, and one-on-one support.
  • Liaise with external benefit providers and consultants to ensure contract negotiations follow the internal process.
  • Manage third party and benefit provider relationships, evaluating and actively managing service level agreements to ensure maximum benefit and support for our colleagues.
  • Create and maintain benefits policies and procedures, liaising with the Head of Benefits and external providers to ensure benefit program decisions are governed, documented, and comply with legislation and best practices.
  • Continuously review processes for operational risk and efficiency improvements, ensuring processes and procedures are up-to-date and version controlled.
  • Ensure timely payment of invoices to third-party providers.
  • Liaise with third parties to investigate and correct any discrepancies due to changes in employee records, providing instructions to Payroll as necessary.
  • Manage the annual UK and global employee wellbeing internal programmes and initiatives.
