BILLING CLERK
Job Overview: This is a full-time in-person based in Dawson Creek, BC, reporting to the Billing & Payroll Manager.
Mountainview Safety Services Ltd. is seeking an organized and adaptable person to join the Finance Department in the role of Billing Clerk. This individual will be responsible for processing accounts receivables (billings). The successful applicant must be able to work well as a team member in a group setting and have excellent communication skills.
Job duties include, but are not limited to:
· Invoicing
o Ensures a Field Service Ticket (FST) has been prepared and submitted for each job.
o Creates billing invoices from the FST according to the billing frequency preferred by the consultant. Obtains the consultant’s stamp of approval of the invoice.
o Codes the outstanding invoice into the Sage accounting system.
o Notifies dispatch and field operations of missing or incomplete billing documentation from the field staff and works closely with those departments to ensure deficiencies are corrected to allow for timely billing.
o Submits invoices to the client via Cortex, Open Invoice, Actian, Ariba, GEP Smart, email, or any other systems used by our clients.
o Addresses subsequent issues and resubmits invoices as needed.
· Billing status and issue resolution
o Compiles weekly Key Performance Indicator (KPI) reports as determined by the Billing & Payroll Manager.
o Assists the Finance Manager in resolving billing issues in conjunction with other departments.
The successful applicant must possess the following education and skills:
· Post-secondary education in accounting, business administration, or a related field.
· Proficiency in Sage accounting software or similar financial systems.
· Experience using client billing portals (e.g., Cortex, Open Invoice, etc.).
· Proficiency in Microsoft Office Suite, primarily Excel and Outlook (this is a requirement).
· Ability to plan, organize, prioritize, and carry out tasks in a fast-paced, open-office environment.
· Excellent organizational skills to handle multiple invoices and deadlines simultaneously.
· Attention to detail and accuracy in processing and coding invoices.
· Strong analytical skills for troubleshooting billing issues and determining corrective actions; proactive in identifying and resolving billing documentation deficiencies.
· Ability to maintain the highest level of privacy and confidentiality in handling sensitive client and company information.
· Adaptable and comfortable learning and using various client-specific billing systems and adapting to changes in technology or processes.
· Team-oriented with a positive attitude and a willingness to learn, support, and engage with the rest of the Finance Department and office staff.
· Ability to work collaboratively with various departments to ensure billing accuracy and efficiency.
The below-named experience, abilities, and skills are preferred and will be considered assets:
· 1-2 years of experience in billing, accounting, or similar administrative role.
· Familiarity with oil and gas or field service industry billing practice.
· Experience preparing KPI reports and resolving billing discrepancies.
Job Type: Full-time, in-person at #5 Collins Road, Dawson Creek, B.C., V1G 1A1
Shift: 8:00 a.m. to 5:00 p.m. Monday through Friday,occasional weekends as needed, overtime built into base salary range.
Pay: $52,000 per year
