Description:

POSITION OVERVIEW

We are seeking a highly organized and detail-oriented Bookings Coordinator to manage the scheduling and coordination of bookings for our complex. This role is responsible for handling all aspects of the booking process, including invoicing. Relying on a strategic approach that focuses on efficiency, the coordinator will ensure that bookings are made in such a way that facility usage is maximized. This role will work closely with clients, vendors, and internal teams to provide excellent customer service and ensure operational efficiency.

REQUIREMENTS

  • University degree or college diploma in business, business administration, marketing, or related field is preferred.
  • Previous experience coordinating bookings and reservations is an asset.
  • Ability to successfully navigate stressful situations - especially during peak booking times or when dealing with any emergent challenges that may arise.
  • Strong communication, multitasking, and problem-solving skills.
  • A demonstrated commitment to customer service excellence.

Responsibilities:

  • Develop, coordinate and oversee allocation of bookings and associated contracts for facilities at City Centre Park including arenas, meeting rooms, stadium, etc.
  • Maintain strong working relationships with clients and related community groups.
  • Create, maintain, and manage the bookings calendar for the complex.
  • Ensure strict adherence to client lease/rental agreements and conduct the necessary follow-up as required.
  • Oversee all aspects of invoicing and account management for clients.
  • Coordinate with departments to address specific needs for each booking, including audiovisual requirements and seating arrangements.
  • Address and resolve booking conflicts and issues in a timely manner.
  • Assist with policy and procedural development, as needed.
  • Mediate disputes and minimize conflicts that may arise between clients and user groups.
  • Assist with other duties as assigned by management.
