JOB SUMMARY

Hoff-Genoist, Ltd is boutique design-build firm, specialized in higher-end single family residences in the Los Angeles area (www.hoffgenoist.com). We are looking for a dynamic, detail oriented, “type A” individual to help manage the administration and marketing of the company.

SKILLS

  • Bookkeeping and budgeting experience with a perfectionist mindset with numbers
  • Proficient in QuickBooks and Excel
  • Experience with the insurance requirements in the construction industry would be a huge plus
  • Experience with social media marketing and graphic design experience
  • Excellent analytical skills with attention to detail in both marketing initiatives and financial reporting.
  • We expect there to be a learning curve given the diversity of tasks in a small business environment, so must be a fast learner and self-starter
    Ideally, we are looking for someone who can work for 3-4 hours each weekday. Depending on the qualifications, skills and workload, it could quickly transition to a full-time position. Work location is in our office in Baldwin Hills, with remote work increasingly possible over time. We are a small and hands-on office with a strong team culture of “can-do” attitudes, trust, flexibility and creativity.

Responsibilities:

  • Bookkeeping: maintaining the company books, generating client invoices, vendor payments, assisting with tax forms and returns. The company uses QuickBooks.
  • Insurance administration: managing the insurance requirements of a design-build firm including workers comp, professional and general liability insurance and builders’ risk policies on projects. Monthly reporting, maintaining subcontractor compliance, audits.
  • Managing subcontractor paperwork such as invoices, time sheets, W9s, 1099s and additional insured insurance paperwork.
  • Marketing: maintaining regular postings/updates on social media, creating blogs and email newsletters, developing flyers and/or postcards for distribution, targeting potential clients.
  • Managing website maintenance and updates.
  • Additional back-office support with placing and tracking orders.
