The Energy Operation division is responsible for leasing and maintaining Alberta’s Crown mineral rights and for calculating, assessing, collecting, and reconciling royalty revenues from natural gas, natural gas liquids, helium, conventional oil, oil sands, coal, and metallic and industrial minerals on behalf of Albertans. In addition, the division looks after Petrinex, which is a key volumetric reporting system for industry and western Canada.
The Energy Optimization Secretariat provides leadership and oversight of key priorities to ensure that as resource owners, Albertans benefit appropriately from energy development. This includes ways to increase efficiencies in internal operations along with modernization of the department’s processes, fees, and royalty collections.

QUALIFICATIONS

  • High School diploma and three years of related administrative experience; or equivalent as described below.

Responsibilities:

The Energy Operations Division is looking for Branch Administrators for their two branches of PNG Tenure Operations and the Energy Optimization Secretariat.

Reporting to an Executive Director, you would support all administrative and operational activities for the day-to-day functions of the management team and Branch. Specific responsibilities include:

  • Create and monitor expenditure budgets and perform related financial activities such as monthly forecasts (budgets, salaries, position use); reconcile and track expenditures (procurement card, invoices, contracts), accruals, etc.
  • Support and coordinate human resource processes for the Branch, including position authorities and utilization, management tracking; maintain a process for managers/team leads to on-board/off-board staff.
  • Be the 1GX workplace administrator for staffing, financial, contract, and organizational functions.
  • Support the Executive Director and Directors with calendar management, email management, and meetings.
  • Coordinate or prepare all responses to Freedom of Information requests, action requests and other briefing material, and ensure they meet style guide and quality requirements within the set timelines. Comprehensive advanced skills in MS Office and SharePoint are required.
  • Maintain records management systems (paper and digital formats) for all correspondence and internal documents.
  • Ensure all accommodations matters (workstations, all office equipment, common areas) are effectively addressed; and maintain attractive asset inventory and manage surplus equipment.
  • Maintain and order office supplies.
  • Guide staff to policies regarding benefits, entitlements, and administrative matters.

We are looking for people who can undertake the preceding functions proficiently using a variety of office software such as MS Office (expert Word and PowerPoint, advanced Outlook, and intermediate Excel) and the ability to transition the Branch to M365 . Advanced SharePoint and intermediate Visio also are required. Due to the nature of the work, well-developed writing skills (structure and grammar) are necessary.
