Description:
SUMMARY
The Branch Care Coordinator provides administrative support to all branch operations while primarily being responsible for scheduling and confirming patient appointments, facilitating and answering questions regarding clients funding programs and insurance requirements, maintaining the Blue Cross portal and managing physicians and clinicians’ schedules. This role also manages, and shares information collected from patients with the appropriate medical team members. The Branch Care Coordinator must be able to communicate and work effectively on a multidisciplinary team and have a working knowledge of medical terminology.
REQUIREMENTS
- Medical Office Assistant Diploma or acceptable combination of education and experience.
- Work experience in area of office administration in a health care setting.
- Working knowledge of medical terminology.
- Experience with TELUS Med Access EMR preferred.
- Previous experience in handling confidential or sensitive information; knowledge of applicable data privacy laws.
- Able to maintain filing systems, databases, and electronic records.
- Strong desire to provide superior customer service in all situations.
- Ability to communicate and work effectively on a multidisciplinary team.
- Superior telephone manners and strong organizational & interpersonal skills.
- Proficient in Microsoft Office applications.
- First Aid skills and/or certificates are considered an asset.
Responsibilities:
- Provides friendly and helpful support to customers by providing general information and directing telephone and walk-in inquiries to appropriate staff members.
- Answer external and internal phone calls and transfer calls to the appropriate departments.
- Creates appointments for therapeutics and diagnostics and adds them to the electronic scheduling system including follow-up appointments for the branch.
- Schedule and confirm patient appointments and follow-ups and manage clinicians’ schedules.
- Give registration forms to patients and ensure that they are properly filled out.
- Update and maintain electronic medical record system.
- Submit patient billing, receive payment for tests, and fill out forms for third-party billing as assigned and manage portal for Blue Cross funding.
- Share information collected from patients with the appropriate medical team members.
- Clean and sterilize materials and other areas such as patient waiting room.
- Monitor inventory of office supplies and materials and order as required.
- Arrange for medical materials to be properly cleaned or disposed of.
- Handle all correspondence, including telephone, email, fax and mail.
- Provide administrative support and perform clerical duties.
- Make recommendations for policy and/or procedure improvements.
- Participate in meetings as requested.
- Responsible for making clients aware of safety issues and concerns and assisting them in making informed decisions about safety.
- Responsible to help create and maintain a safe and healthy work environment.
- Maintain and troubleshoot office equipment and software issues as required.
- Provides assistance and answers questions for clients regarding funding programs and insurance requirements.
- Provides information/demonstrations to prospective clients.
- Assists staff with the completion of necessary administrative functions and documentation.
- Assists in the management of equipment, devices, and internal assets.
- Supports co-workers and other departments by adhering to all financial operations processes.
- Requesting prescriptions from Physicians and booking patients for tests required for oxygen and BPAP funding.
