Breast Unit Administrator (Band 3)
37.5 hours per week
The Breast Surgery team are looking for a full time Band 3 administrator to provide support to the Breast & Skin Surgery team at the Royal Surrey NHS Foundation Trust in Guildford, Surrey.
The successful applicant should possess excellent communication skills and proven organisational skills. This is an important role and you will be required to work to tight deadlines and manage a varied workload, including general administration duties such as tracking and maintaining patient records, clinic co-ordination and diary management. It is also essential that you possess excellent IT skills for this post.

The Breast Unit Administrator will work closely with the Medical secretaries based in the Breast unit offices, setting up clinics, preparing all documentation required for the smooth running of all the clinics within the Unit.

Organisational Management
The post holder will collect all relevant paperwork, folders and results for the clinic from the Breast Unit.
Picklists are to be printed and delivered to clinic.
Notes are to be checked and rmissing referrals filed before clinic.
The postholder will track notes to the right department and and deliver them accordingly.
The postholder will scan and save all paperwork in the relevant folder.
The postholder will save all ERS referrals and any referrals coming into the Breast, Skin and Plastics inboxes and print them off for triaging and printing.
The postholder will used Docman to send clinical letters to GP.
The postholder will deliver and collect any correspondence for the Unit to and from the Postroom.
In addition to own workload the post holder will be expected to provide cover for colleagues in the department during annual leave, sick leave and during busy periods where there is an imbalance of work.
Communication
The post holder is a vital part of the clinic team and will be central to the smooth and efficient running of clinics by ensuring all are aware of any concerns or issues at the earliest opportunity.
Management of Information
The post holder must be fully conversant and competent in the features of the patient administration system (Cerner) which supports all aspects of the management of clinics and appointments
The post holder will be expected to have full knowledge of the contents of the Patient Access Policy.
The postholder will be trained in the use of ERS and Docman.
Personal Management
The post holder will be expected to undergo further training when systems are updated and to implement changes into their own working systems.
The post holder will be expected to achieve certain objectives agreed with the Specialty Manager at an annual appraisal.
Self Management
To identify own training and development needs and to undertake appropriate training / education as required.
Must be able to prioritise and organise own workload, thinking strategically and remaining flexible in the day to day function of the department.
To be aware of own boundaries and seek advice from line managers when appropriate
Management
To be responsible for the self- development of skills and competencies through participation in learning and development activities, and to maintain up to date technical and professional knowledge relevant to the post
Finance
You are required to comply with the Trust Standard of Business Conduct policy and the NHS Codes of Conduct and Standards of Business Conduct for NHS Staff and you are required to declare all situations where you (or a close relative or associate) have a controlling interest in a business (such as a private company, public organisation, other NHS organisation or voluntary organisation) or in any other activity which may compete for an NHS contract to supply goods or service to the Trust
