Responsibilities:

The Business Administration Assistant will be an organised individual who supports the whole team and the operations of the business. Supporting the reception department at PCE Automation Limited and performing various administrative tasks which will vary from day to day.
The following list is an indication of the responsibilities of the role, which the post holder will be expected to undertake. The list is not exhaustive and is intended as guidance only.
· Support Colleagues across the business by streamlining processes and making sure relevant information is easily accessible and up to date.
· Collect and input company data on a variety of platforms.
· Assist in producing reports on a weekly, monthly and ad hoc basis.
· Set up and manage effective office systems to support the Management team.
· Act as a personal assistant to the Management team including scheduling appointments and events.
· Participating in office meetings to take minutes
· Manage and authorise timesheets for some on-site and off-site workers.
· Assist Managers with any other administrative tasks that are required.
Supporting Reception duties as follows:
· Greet visitors and directing them to the correct person or department.
· Manage the Sign in System and hand out security passes.
· Answering enquiries in person, by phone, or by email.
· Order and deliver refreshments for our visitors and preparing meeting rooms.
· Collect and sort post.
· Maintain a clean and tidy environment.
· Receive calls from employees that are unable to attend work that day and inform the appropriate manager and HR Team.
· Book hotels, transport and make any other general arrangements.
· Order and organise workwear for our employees.
· Create employee key cards.
· Order office supplies and keep inventory of stock.
· Order canteen supplies.
