Responsibilities:

JOB PURPOSE

BBC Wales Business and Operations, Planning and Scheduling Team support programme output across several areas from live O.B. events, continuing News output, Studio programmes etc. We undertake a range of tasks i.e. scheduling all resources, engaging freelancers, quotes, billings etc. This is across a number of departments, but not limited to Post Production, Studios, Outside Broadcasts, Editing, Graphics, TV Presentation, Audio, News, Technology and Sport.
We have an exciting opportunity for a Business & Resource Scheduling Co-ordinator within our Planning and Scheduling team. Through our close and creative partnership with programme teams, this position is vital to supporting the department, staff, freelancers and resources to programmes. Our Business & Resource Scheduling Co-ordinators are a highly valued and an integral part of the operation.
The purpose of the role is to provide a wide range of business support services to managers and team members. To effectively contract and schedule staff resources in accordance with production and transmission requirement, conditions of service and objective of the operational area. To effectively contract and manage the payment of suppliers and freelancers.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

  • Reporting to the Business Advisor, and work closely to support the work of the Business Partner – Planning, Operations Team Leaders, Unit Managers, Senior Resource Schedulers, Resource Schedulers and operational staff within Operations.
  • Responsible for processing a high volume of freelance payments via Smartbook.
  • Responsible for completing Eligibility to Work checks for new freelancers.
  • You will liaise with Senior Resource Schedulers, Resource Schedulers, H.R. and Freelancers on a daily basis to process and resolve any issues or queries with their payments.
  • You will be responsible for raising sales orders and purchase orders via My Business, checking supplier invoices in the system for payment and processing. You will be required to source and purchase on behalf of crew, including bespoke kit, travel and hotel bookings, IT support/setting up accounts etc.
  • Dealing with issues or queries arising from invoicing and payments to suppliers, staff, talent and contingent workforce.
  • Scheduling staff and facilities in line with production requirements using Workplace (resource scheduling tool). Ensuring rotas, timesheets and leave requests are dealt with in a prompt and timely manner.
  • Working with the Business Advisor to manage and maintain the scheduling system, Workplace. This includes monitoring the Workplace shared inbox and actioning any system-related queries, such as setting up user accounts/access and creating resource requirements.
  • Assist with statistical financial information as and when required for the control of all expenditure, ensure that costs are recovered and have been accurately input into the relevant systems.
  • Contribute to the smooth running of a busy operational department, as well as maintaining, a safe and healthy working environment at all times; escalating any issues or areas or concern where necessary.
