Description:
YOU’LL HAVE THE FOLLOWING SKILLS/EXPERIENCE:
· Able to work remotely and manage you time and tasks independently
· Good keyboard skills (good knowledge of Word and Excel is essential.
· Minute taking experience – not verbatim but the ability to make a note of salient points and produce documents from those
· Proactive with good administrative skills -preferably experience in a senior administrative role.
Responsibilities:
· Accountable to the Operation Manager, to support them in the comprehensive day to day management of the Provider Collaborative ensuring effective and efficient administration is in place.
· To be responsible for managing own workload, working independently and as part of the team.
· To provide and receive complex and sensitive information and use reassurance and influencing skills to manage communications sensitively with staff, partners and stakeholders in a confidential manner.
· To make sound judgement when faced with a range of information relating to T4 situations and relaying in a timely manner to the Operations Manager.
· To report on the Provider Collaborative’s activity at the month end, presenting information and data in appropriate format.
· To maintain and update the data held by the Provider Collaborative and provide extracts of data as requested by the Operations Manager, to support decision-making or to comply with reporting requirements.
· To manage internal and external enquiries, re-directing as appropriate.
· To deal independently with routine yet complex business matters in a professional and prompt manner without reference to the Operations Manager but escalating as appropriate.
· To utilise existing knowledge and understanding of professional administrative work procedures and practises to enhance the quality of services provided by the Provider Collaborative. This includes expert meeting management and minute taking, transcribing, data collection and reporting, and electronic storage of records.
· To plan and coordinate the processes to manage internal/team ad wider stakeholder meetings, including setting agendas, taking minutes, following up actions, requesting reports and papers and distribution of papers within agreed timescale. To attend any other meetings to take minutes as required.
· To be responsible for the operating of various information systems including but not limited to SystmOne, ESR and SBS.
· To provide administrative support for the Operations Manager , e.g. monitoring staff holidays, and staff training records.
· To support the Operations Manager with the recruitment and selection process of staff, to include advertising, interviewing, selection and onboarding.
· To assist in the management of non-clinical issues ensuring the team has access to necessary equipment and access to digital services and software to support remote working.
· Undertake any other reasonable duties as requested by the Operations Manager.
· To be responsible for own VDU workplace assessment and health and safety surveillance.
· To contribute actively in the promotion of respect for diversity and inclusivity of all individuals, to promote the valued image of people who use the Trust services, challenge stigma and uphold the Trust Visions and Values.
