JOB SUMMARY

The incumbent in this position, as part of an administrative team, is responsible for the day-to-day administrative, business, and financial operations of Otolaryngology-Head and Neck Surgery under the direct supervision of the Department Administrator. This position, in conjunction with the Department Administrator, assists with ensuring high quality patient/family centered care, including ready access to ambulatory care services, as well as achieving optimal business performance for the practice site and health system. Daily and operational responsibilities include supervision of staff, financial management, leadership, staff development and mentoring, project coordination, maintenance of environment and security, assisting Administrator with medical office/administrative policies, conformance to all regulatory requirements and continuing education.
Responsible for assisting in developing business plans in accordance with Augusta University and Health System standards, assisting in executing business plans as approved by the Augusta University and Health System leadership.

REQUIRED QUALIFICATIONS

Bachelor’s degree from an accredited college or university in Business Administrative or related discipline & Two years administrative and/or management experience.
OR
Associate degree from an accredited college or university and 3 years administrative and/or management experience.

KNOWLEDGE

Working knowledge of AU’s policies and procedures. Complete understanding of the structure and guidelines related to National Institutes of Health sponsored projects. Proficient in Microsoft Office and other computer software/databases.

SKILLS

Excellent interpersonal, written, and verbal communication skills.

ABILITIES

Ability to maintain confidentiality.

Responsibilities:

THE DUTIES INCLUDE, BUT ARE NOT LIMITED TO:

General Administration: Direct oversight to include supervision of administrative staff. Oversight of all active financial accounts within AU, MCG, AUMA, Foundation and related policies and procedures (purchasing, A/P, AIR, payroll, budgeting, auditing, etc.) Responsible for budget development, supervision and management of the department’s operating revenues and expenditure. Exercises budget controls to ensure that expenditures will not exceed budget. Prepares, or causes to be prepared, in an accurate and timely manner periodic financial, expenditure, revenue and payroll statements and reports for strategic decision-making and operational leadership of the department. Responsible for the recruitment. supervision and professional growth and development of the administrative staff. Facilitate faculty and APP recruitment, supported by a formal business plan, to enhance and expand the missions and strategies of the Department, School, and University. Supervision of the coordination and assignment of space and property utilization for the department.
Research Management and Development: In collaboration with faculty and OCIS, monitor active research projects to maximize extramural funding while ensuring ongoing compliances with Institutional, state, and federal guidelines. In collaboration with faculty and OCIS, assure adequate managerial Infrastructure to support significant expansion of research initiatives within the Department. Education Administration: In collaboration with the Department Administrator, provide appropriate infrastructure to support continued excellence in education at the student, resident, and fellow level. Develop and implement Initiatives targeted to meet institution/department goals for graduation, board pass rate, and recruitment of graduates from LCME accredited medical schools.
OR BlockTime Optimization: Work with the Department Administrator to assist with OR Block time assignments for operative Faculty in the Administrative Unit. Develop systems to ensure that OR block time is optimally utilized within the Administrative Unit.
Clinical Practice Management and Development: In concert with the Department Administrator, assists with day-to-day operational responsibility for management of all administrative aspects of practice site operations, including Indirect oversight of important functional components supporting or related to services provided by ambulatory practice sites. Responsible for direct oversight of financial accounts associated h practice site, including responsibility for budget development, supervision and management of ambulatory practice site’s operating revenues and expenditures, including personnel, supplies, travel, and capital budget requests. Exercises budget controls to ensure expenditures will not exceed budget. Prepares, In an accurate and timely manner, periodic financial expenditure, revenue, payroll statements and reports for strategic decision-making and operational leadership of ambulatory practice sites. In collaboration with faculty, monitors clinical activity and pursues 100% charge capture, optimal reimbursement, and documentation compliance for all clinical services. Assists the Department Administrator in the development of standards of professional behavior for clinical physicians and staff and monitors performance of same, initiating interventions as appropriate. Assists, as appropriate, with orientation of new faculty in ambulatory care programs. Monitors Faculty Cancellation Rate and reports rates greater than 2% to the Department Administrator. Monitors Actual Hours Available in the Clinic and reports shortfalls to the Department Administrator.
