SUMMARY

The Business Support Specialist performs advanced high volume level administrative work. This position supports JHS mission of creating a rewarding client and patient experience by ensuring and facilitating administrative level expertise with diverse projects in a timely manner consistent with the goals of the respective department and budget. This position will have a significant role in the preparation of the departments or the organization’s budget and may act in a confidential capacity. Position requires exercise of independent judgment.

EXPERIENCE

Generally requires 3 to 5 years of related experience.

EDUCATION

High school diploma is required. Bachelor’s degree in related field is strongly preferred.

SKILL

Ability to analyze, organize and prioritize work accurately while meeting multiple deadlines. Ability to communicate effectively in both oral and written form. Ability to handle difficult and stressful situations with critical thinking and professional composure. Ability to understand and follow instructions. Ability to exercise sound and independent judgment. Knowledge and skill in use of job appropriate technology and software applications.

Responsibilities:

Provides daily high level advanced departmental administrative assistance. Provides assistance by developing, communicating, implementing and evaluating the mission, goals and objectives of the respective department. Ensures that department specific goals and objectives are carried out and supportive of financial sustainability goals of Jackson Health System. Assists in maintaining regulatory compliance through implementation of programmatic changes. Assists with coordinating personnel functions for department. Provides administrative oversight for Trust and Grant funds ensuring compliance to criteria designating allocation of monies, maintaining disbursement ledgers describing expense type and provides monthly report to Administration. Promotes excellent customer service orientation within the department including development and implementation of customer-focused systems, processes and behaviors. Assists in coordinating personnel functions for each department within Division as requested. Ensures that department specific goals and objectives are aligned with Division and support financial sustainability goals of Jackson Health System. Assists with annual budget preparation. Assists with procurement and contract analysis. Maintains a working knowledge and understanding of managed care, health care delivery trends, payment/reimbursement structure, accreditation regulations and regulatory criteria. Ensures department operates within applicable guidelines. Reviews vendors and contractual associates compliance with outcome metrics as specified in contract or service agreement. Initiates corrective action as appropriate and informs Administration. Ensures that report deadlines are met and that all information distributed is complete. May have the following Data Request Triage duties: a) Monitor incoming data requests by reviewing request details such as purpose of request, report audience, data sources, etc. Assign them to the appropriate analytical team for fulfillment; b) Will escalate requests should they require further clarity before it can be assigned to the appropriate team for fulfillment. Serves as a liaison to the data requestor until all pending questions have been answered. If certain approvals are required prior to assignment, this role will work with the appropriate approving bodies to gain approval before requests can be assigned. c) Update the Data Request Priority Ranker on a daily basis. d) Update and distribute the Data Request Tracker and Priority Ranker reports on a weekly basis. e) Facilitate weekly review of BIRT Data Requests with analytic team leads/subject matter experts. f) This role is empowered to review current processes, speak up if and when inefficiencies exist, and to play a prominent part in their idea’s implementation. May have the following Analytics duties: a) Review incoming requests for opportunities to learn visualization as well as the data landscape of Jackson Health. b) Performs monthly costing duties as necessary. Demonstrates behaviors of service excellence and CARE values (Compassion, Accountability, Respect and Expertise). Performs all other related job duties as assigned.
