We are looking for an enthusiastic, flexible, and self-motivated person to join our friendly team.Closer2Home is an intensive home treatment service delivered through a multi-disciplinary team made up of Consultant Psychiatrists, Mental Health Practitioners, Community Adolescent Senior Support Workers, Peer Support Workers and Trainee Nurse Associates.
The successful candidate must possess excellent verbal and written communication skills together with IT skills with the ability to work to tight deadlines. You will need to be a resourceful and an organised administrator, capable of delivering high quality support to a busy service during challenging times. Duties will include the typing of clinic letters, processing referrals, minuting professionals meetings, and booking appointments, as well as other administrative tasks such as filing, ordering, scanning, data collation. We are seeking a highly motivated individual who can work effectively using their own initiative, whilst working autonomously or as part of a team.

JOB DESCRIPTION

Responsibilities:
To provide comprehensive administrative support to the service.
To effectively prioritise and manage own workload whilst maintaining confidentiality and diplomacy at all times.
To work without direct supervision and show extensive use of initiative in prioritising and making decisions in relation to effectively supporting the smooth operation of the service.
To carry out other duties as necessary to meet the changing needs of Hampshire and Isle of Wight Healthcare NHS Foundation Trust, in accordance with management requirements and appropriate to banding.
All duties will be carried out within the Trust’s Information Governance, recording, and data sharing procedures and guidance.
Use & accurately populate the electronic record system (RiO) with information to include referrals, scanning & uploading information from other services in a timely manner etc., taking responsibility for the quality of the data & taking note of the Health Records Standards & Procedures & Record Keeping Policy
Follow agreed processes for dealing with emails on Outlook on a regular basis prioritising urgency & importance, signposting/dealing with queries (often sensitive) regarding issues arising.
Monitor & order stationery/leaflets, clinical & general supplies & place order request when necessary.
Provide cover & support during times of absence for the core functioning of the admin team.
Provide admin support & review administration systems/processes as deemed appropriate.
