CAPITAL PROJECT COORDINATOR ONE POSITION FOR THE SOOKE SCHOOL DISTRICT.FORTY HOURS PER WEEK. TWELVE MONTHS PER YEAR.PLEASE SEE JOB DESCRIPTION BELOW.THIS IS A NEW POSITION AND WILL RECEIVE A FINAL PAY RATING AFTER THE JOB EVALUATION COMMITTEE REVIEWS IT AS PER THE JOB EVALUATION PLAN.AN INTERIM HOURLY RATE OF $34.22 WILL BE APPLIED.RATE OF PAY AS PER THE CUPE COLLECTIVE AGREEMENT.DUTIES TO COMMENCE AS SOON AS POSSIBLE.Position Title: Capital Project Coordinator Affiliation: CUPE Reports to: Manager, Minor Capital or Designate Date of Revision: January 21, 2025 Terms of Employment: Twelve months per year, permanent full-time KNOWLEDGE AND EXPERIENCE Secondary school graduation or equivalent Technologist or Technician certification in a related field with demonstratable AutoCAD or similar computer assistant drawing program training Minimum of four (4) years’ experience in construction with in-depth understanding of construction processes, materials and quality assurance Minimum two (2) years’ experience in project management including planning, managing and delivering projects, including scope, budget and timeline management Experience in developing and reviewing procurement documents, such as RFPs and tenders with familiarity with the BC BID process An equivalent combination of education and experience may be considered. Advanced computer skills with all Microsoft programs (Outlook, Word, Excel, Teams, PowerPoint and Project) as well as Familiarity with projects management software, financial tracking systems and other web- based applications Knowledgeable of local, district, and Ministry regulations, standards and policies related to building and construction SKILLS AND ABILITIES Keeps in mind the safety of others including school children and community Actively shows courtesy and respect to all, proactively builds healthy and trusting relationships with all; contributes to a positive working environment Clearly articulates thoughts and ideas and shares timely and relevant information openly, honestly, and respectfully with district staff and stakeholders Possesses strong organizational skills and proactively plans, prioritizes, and organizes work to manage multiple projects simultaneously with a strong attention to detail Uses a solution-based approach to analyze relevant facts, evidence, and data to determine specific issues and make decisions to solve problems Respects the confidential nature of all information Position Title: Capital Project Coordinator Affiliation: CUPE Reports to: Manager, Minor Capital or Designate Date of Revision: January 21, 2025 RESPONSIBILITIES Serves as the Owner’s Representative to oversee inspections and approve work, ensuring compliance with contract requirements and high-quality workmanship. Evaluate the ongoing relevance of contract documents, issue contemplated change orders, and review change orders to confirm appropriateness of content and cost/credit adjustments Reviews and validates cost estimates and expenditures Prepares documentation for regulatory compliance and project tracking Coordinates and advises School-Based and District Building Committees on the planning, design, and construction of assigned projects.
Provide expert guidance on budget management, project scope, and adherence to Ministry and District policies, standards, and regulations Collaborates with architects, consultants, and district staff to facilitate effective communication and ensure the seamless design and construction of assigned projects Updates asset management system, as new assets are installed, and end of life assets are retired Monitors and maintains accurate financial records for assigned projects, ensuring the precision and integrity of all financial transactions Liaises with the Ministry and regulatory agencies to secure required approvals and submit timely reports and documentation in compliance with regulatory and funding requirements Administers and manages contracts and agreements related to assigned projects, ensuring all terms and conditions are met and issues are promptly resolved Prepares and presents detailed monthly reports to Building Committees, offering insights into project progress, financial status, and potential risks Collaborates with maintenance staff to align district operations and Board-managed projects with assigned project goals and timelines Conducts thorough reviews of contract documents and provides recommendations to ensure alignment with project objectives and organizational standards Participates in community, school, and district meetings as required, serving as a professional representative and resource for assigned projects Develops procurement documents in alignment with project and organizational needs, while supporting and overseeing the procurement process to ensure compliance with policies and best practices Performs other related duties as time permits and/or assigned as required Job Description Page PAGE 2 of NUMPAGES
