Description:
MOTORSPORT CARNET / ADMINISTRATION SPECIALIST
As a DHL Motorsport Carnet / Administration Specialist, you’ll ensure that contract requirements are met and documents are completed in a timely and efficient manner ensuring consistent high quality administration processes that enable DHL Global Forwarding to provide efficient Carnet and Administration service. SKILLSETS AND ATTRIBUTES
- Minimum 2 year experience in Project Administration
- Good Administrative skills
- Organised and systematic
- Basic understanding of finance & accounting
- Results driven and good attention to details
- Good written and spoken English
- Good interpersonal skills
- Able to prioritise and perform under pressure
- A level education or broad GCSE level education.
LOCATION: London, Hayes
HOURS: 37.5 hours per week
REPORTS TO: Administration Manager
Responsibilities:
- Develop relationships with customers (internal/external)
- Ensure all customer enquiries are logged and responded to promptly/professionally
- Adhere to Customs Compliance procedures and documentation
- Ensure each ‘Job File’ is accurately completed (costed and billed)
- Assist in the preparation of presentations & reporting
- Support with finance administration of events.
- Assist with other administrative duties such as credit control / accounts payable queries
- Ensure that all interactions are compliant with DPDHL Code of Conduct and other compliance requirements e.g. anti corruption.
- Contribute to the ‘First Choice’ continuous improvement program
- Participate in Monthly Team briefing sessions and weekly performance dialog meetings
- Complete all statutory and mandatory training as and when required
- Work confidently with Microsoft Office and particularly Excel.
- Working with variety of internal systems and have good knowledge of: CW1, Workflow, EDM, Sick Files, FRP
- Maintain excellent relationships with team members and other stake holders.
- Identifying performance issues of processes and proposes solutions to improve/correct performance.
- Interacts with all relevant internal and external parties involved to ensure processes are being followed.
- Above tasks but not limited to these.
