Job Description
The Casting Production Coordinator will perform administrative, casting and operational duties supporting productions and the motion capture department, in accordance with specific guidelines and procedures.

EDUCATION:

  • Diploma or Degree in project management, audio, theatre, film/TV production or any other related field.

RELEVANT EXPERIENCE:

  • 3 years+ experience casting for voice-over, theatre, film or television productions or talent agency(ies).

QUALIFICATIONS:

  • Able to work at the speed of the business and meet tight deadlines and manage several projects at once.
  • Exceptional time management, organizational and problem-solving skills.
  • Comfortable working with stakeholders at all levels.
  • Works autonomously and is resourceful.

KNOWLEDGE OF:

  • Working knowledge of Office Suite (Excel, Word, TEAMS etc.) + familiarity with project management software (e.g., Click Up, Jira).
  • Knowledge of the entertainment industry, agents & unions is an asset. Familiarity with ACTRA preferred.
  • Basic knowledge of the video game industry is an asset.
  • French fluency a strong asset.

Responsibilities:

The main tasks are :
Talent Support: Welcome and assist talent during recording sessions, auditions, and rehearsals, while managing actor access with security and reception.
Data Management: Enter and maintain talent and casting information in the internal database, along with tracking lists.
Contract Administration: Generate contracts and purchase orders, and handle signatures and invoices.
Travel Logistics: Arrange travel and immigration paperwork for actors, and compile expense reports.
Availability Coordination: Contact talent and agents to check availability and make bookings.
Budgeting: Provide quotes for talent and casting budgets.
Session Coordination: Create schedules and manage voice recording sessions, reserving studio time and directors.
Makeup and Setup: Schedule makeup artists and prepare scanning rooms.
Insurance Management: Handle insurance requests for actors.
Script Management: Apply watermarks and distribute scripts to talent and directors.
Studio Preparation: Ensure studios are equipped with necessary refreshments.
Footage Archiving: Archive actor footage in the company database.
Planning Tools Maintenance: Maintain planning tools and team calendars.
Talent Identification: Collaborate with teams to find suitable talent within budget.
Research: Conduct research to identify fitting talent for roles.
Casting Schedules: Create and adjust casting schedules as needed.
Candidate Selection: Draft character breakdowns, review audition tapes, and select candidates.
Audition Logistics: Book audition facilities and manage logistics.
Feedback Provision: Provide casting feedback and shortlist recommendations to production.
Talent Searches: Conduct searches in the talent database and make recommendations.
Agreement Negotiation: Draft and negotiate talent agreements, including for international performers.
Stakeholder Communication: Facilitate communication between performers, agents, and production.
Union Guidance: Advise on union rules and rates.
Relationship Management: Build and maintain industry relationships.
