Job Duties

REQUIRED QUALIFICATIONS, SKILLS AND ABILITIES (QSA)

  1. Grade 12 or equivalent.

IELTS Invigilators are assigned to the administration and invigilation of IELTS exams. Invigilators are trained and certified in order to deliver these exams, a task which may require the use of technological skills. Hours will vary and will include evenings and weekends. Applicants currently enrolled in credit courses at Saskatchewan Polytechnic classes will not be considered as this position places them in a conflict-of-interest situation.

  • Invigilators check out exams and other materials from Test Centre or IELTS office and carry out admin work before exam starts.
  • Rooms, tables and chairs are arranged according to the number of candidates, setting up seating charts and specialized dividers are arranged where applicable.
  • Check facilities and equipment are ready for exams. (i.e. AV equipment, )
  • Familiarity with exam venue – know the emergency procedures for that location, water fountain and washroom locations.
  • Take payments using Moneris and complete cash out at end of shift

Computer Skills

  • Basic troubleshooting knowledge to support Administrators as required and for when alone with smaller group of test takers in other labs (ex. websites, specialized software, IELTS/ CELPIP).
  • Ability to scan and take photos with computers for ID purposes on specialized exams.
  • Must learn how to use the system to perform check in and completion/no show data entry of scheduled appointments as required.
  • Keyboarding skills – able to type at a reasonable speed.
  • Data entry (online systems like ORS, IAM, Inspera and Excel spreadsheets).
  • Outlook (email and calendars)

Exam Security

Follow the protocols for exam security and integrity and candidate check in as laid out in the manual and/or as per the specialized exam.

  • Confirm attendance, ensure correct exam papers/packages are received and ready for exam start, distribute appropriate exam papers, instruct students regarding correct start and finish times.
  • Complete thorough check-ins of candidates.
  • Checking IDs, scanning of fingerprints, security wand, photos for verification as required.
  • Ensure candidates sit in correct places.
  • Ensure unauthorized materials are not taken into the exam room (electronic devices, watches, hoods, outdoor coats, books, bags, food, etc.).
  • Ensure no exam materials are removed from the exam room by candidates.
  • Collect appropriate exams at end time and enter appropriate data where applicable.
  • Packaging the exams as required for return.
  • Ensure that exams are always in sight and secure, including in the case of a fire alarm or lock down alarm.
  • Where required, accompany candidates to restroom and wait outside while candidate is using the facility, then accompany candidate back to exam room.
  • Reporting, in detail, any academic misconduct/dishonesty observances to Administrators for appropriate follow-up.
  • Use electronic monitoring equipment to ensure exam integrity (security camera system, IAM System, Camera, Inspera etc.).

Certifications and Training • Participate in required training and follow-up for the invigilation of specialized exams. • On occasion required to complete an assessment to validate completion of the training.

  • May be required to have intermediate Zoom skills for remote proctoring (able to use a web camera for remote testing).
  • Word – fill out templates to complete various tasks like creating reports.

Supervision

  • Record start and end time of exams as they are turned in.
  • Must be able to supervise one to 80 exam takers in high stakes exam* situations (when there are more than 10 candidates this will be done in partnership or part of a team with other invigilators).
  • Actively patrol the exam room to prevent cheating.
  • Only allow candidates to leave after all exam materials have been collected and accounted for.
  • If invigilator notices that a candidate is experiencing extreme exam anxiety, he/she must report it to Administrators to facilitate appropriate referral for more assistance.
  • High-stakes exams are all exams delivered on the behalf of external agencies, require additional certification and are revenue based.

Reading/Scribing

  • Must be able to follow appropriate protocols for reading and/or scribing exams for equity candidates.
  • Able to read verbatim, clearly, at an acceptable pace, with good enunciation, and with a professional demeanor.
  • Able to work with the exam candidate comfortably and compatibly without creating unnecessary pressure or unrealistic expectations.
  • Able to write only what the student dictates verbatim without prompting.
  • Able to learn to read medical and mathematical terminology.

Confidentiality

  • Invigilators must ensure that confidential materials such as IDs remain secure.
  • Invigilators must keep their knowledge of test taker names and identification of equity students as confidential and not identify them outside of their work environment.
  • Invigilators are not allowed to text, check smart phones, do unrelated computer work, shuffle papers, eat or do any other distracting activities during exam time.
