YOUR SKILLS

  • You have a bachelor degree in Office Management or in Human Resources Management
  • You have a good knowledge of MS Office
  • You are Dutch speaker with a good knowledge of French or vice versa
  • You feel at ease in English
  • You have an hands on attitude with good interpersonal and communication skills
  • You are proactive, organised, discreet and rigorous
  • You are flexible, empathic and an excellent team player
  • A knowledge of the “HR-Web” tool is a plus
  • A prior experience in a similar role is a plus

Responsibilities:

As HR Assistant, you will have a very polyvalent function in a dynamic team, where no day is the same. Our department is composed of 8 people and covers the following areas of expertise: Compensation and Benefits, People Development, Recruitment and Internal Communication.
As young all-round HR profile, you will report directly to the People Development Responsible and will be able to help the team with the coordination, planning, organisation, follow-up and communication by handling ad-hoc requests from the People Development and Compensation and Benefits teams mainly.
Your main tasks will be distributed as follows :

People Development activities (50%):

  • Support the People Development activities (training, performance review, skills review, surveys)
  • Training:
  • Manage the training mailbox and answer to requests that are coming in
  • Organize training sessions
  • Mpleo encoding
  • Invitations
  • Logistic support (lunch, prepare rooms, welcome trainers…)
  • Contacts with providers
  • Be a driving force. Be proactive by suggesting process improvements and training topic ideas
  • Feed the People Development Confluence’s page
  • Co-creation of internal communication
  • Reporting
  • Support to Performance Review and Skills review processes
  • Extra’s possible depending on the need

Compensations and Benefits activities (40%):

  • Maintain the HR departmental email accounts, responding to employee questions and complaints in a timely and professional manner
  • Compile and handle employee documentation and records during onboarding and offboarding processes including IT equipment, access badges, fleet and other benefits matters.
  • Ensure the employee database remains up to date along the way
  • Assist the Compensation & Benefits manager with communicating policies, procedures, updates and changes to employees
  • Office management support: handle facilities, parking and desk booking systems, contact with building providers, handle requests for small maintenance works etc.

Recruitment and Internal Communications activities (10%):

  • Participate in specific projects such as Engagement Program, Onboarding, Inclusion and Diversity, Mobility etc.
