The Role
A Center Manager’s role in Cloud Spaces covers all aspects of running a small business within the security, support and systems of an established company. You will manage your own area in its entirety and therefore you can see how you and your team are performing. There are number of on a monthly basis including your Profit and Loss statement, sales conversion rates, client termination churn and team turnover churn. A Lead must be dealt with immediately. • Check our main lines are connected & being answered correctly. • Aim is convert every lead within their visit or call. • All types of Leads & opportunities must be entered in OPERATE and dealt with through the system, • with CRM kept up to date. • Understand all our USPs and how they can benefit the client, we do not sell against competition we offer solutions that add value to our future clients’ business. • Always follow the standard deal given to you, seek approval for further discount from your General Manager. Sales administration: • Celebrate your sales with your team. • Keep CRM up to date with correct sales notice details & Agreements uploaded. • Keep floor map up to date. • Ensure all Agreements are executed by the client & your General Manager. Team: • Create a positive and enjoyable work environment. • Hire a great team of skilled, motivated individuals • Ensure you maintain a well-balanced team to service the clients and grow the business. • Maintain appropriate team balance to minimize losses and maintain a healthy ROI. • Discuss with your team the client’s business; find out what the clients need and how we can assist/help them. • Train your team to exceed client’s expectations. • Hold team meetings to motivate, educate & reward your team every six weeks. • Work with Marketing team to hold events and guest speakers. Clients / Customer Service: • Aim to exceed the client’s expectation. • Welcome client on day one • Ensure client is assisted with settling in • Train your team how to participate in Client Welcomes • Train and maintain “Get It Right The First Time” policy in your location • Identify client’s needs and how we can help. • Attend to all client queries or concerns within 24 hours. • Deliver a regular complimentary tray of delights or snacks (soft drinks, ice cream on hot days or pastries and coffee can be used as an alternative) Termination: • Fully understand why is the client terminating • Aim to re-sell clients who wish to terminate. • Action terminations on the same day as received. Make a profit: • Review monthly profit and loss statement and improving profits. (After your first 8 weeks) • Review and compare your performance in the current period against the previous month and previous year. • Know your projections for the month and year. Accounts: • Accurately receipt client payments in accounting system from bank statement/receipts as informed by the accounts department • Collect payment from clients with payment reminders / Liaise with accounts department when required.
Requirements
Operate: • Set up of clients correctly / ensure all items on the Agreement are properly entered. • All rents and rent reviews should be clearly entered and occur automatically. • Ensure your team are charging correctly daily. • Audit recurring charge items twice per year • Accurate & timely client invoice preparation & distribution by the 1st of the month. General: • Ensure all floor equipment is maintained. • Liaise with Cloud Spaces IT to ensure IT and Communication records & equipment are maintained. • Report regularly and honestly to your General Manager. General knowledge: • Real estate prices per sqm/SqFt in your city. • What is happening in your city? Have a good commercial knowledge base. • Attend networking events – minimum 1 per month. • Be a student of your market. Equipment: • Photocopier • Video conferencing • TV / DVD player • Utilize and follow the system in the Cloud Spaces Manuals Personal: • Grooming/dress code is professional and suitable style for the environment we work in • Lead your team by example. • Be honest and always talk up to your Line Manager and do not involve your team in your personal life. • Have a “buddy” in Cloud Spaces at managerial level. • Smile!
