Description:
- MAIN DUTIES & RESPONSIBILITIES Serve as the first point of contact for the Charity’s fundraising department, handling written, email, and telephone enquiries, and maintaining accurate supporter records. Support fundraisers throughout their journey, from initial enquiry to completion, including setting up online giving platforms using JustGiving and Enthuse. Produce promotional materials for fundraising events, such as posters and leaflets.
Provide comprehensive administrative support to the fundraising team, including managing the charity mailbox, team calendar, meeting agendas, and minutes. Work with hospital staff to encourage participation in fundraising activities, raising the profile of the Charity internally. Process and log fundraising and event registration forms, ensuring information is accurately recorded in the crm system and Excel spreadsheets. Assist with promoting and coordinating the Charitys events, collaborating with volunteers and colleagues to ensure smooth planning and execution.
Help manage Special Appeals and Projects by tailoring approaches to different community groups, donors, and fundraisers. Meet fundraisers and donors in person, occasionally handling cash donations in line with the Trusts cash-handling procedures. Lead on various fundraising events and activities, including occasional out-of-hours and weekend work. Maintain and manage fundraising supplies, including assembling and dispatching materials to volunteers and fundraisers.
Administer the fundraising database, ensuring compliance with GDPR and charity policies, and keeping records of events, collection tins, and donations. Ensure timely and appropriate acknowledgements are sent to donors and supporters. Regularly update charity noticeboards across the hospital and ensure promotional materials are available and current. Build relationships with suppliers, negotiate pricing, and follow NHS protocols for purchase orders and expenditure requisitions.
Collaborate with the finance team to update the fundraising database with financial transactions, generate reports, and assist in coding donations correctly. Produce monthly reports for the finance team. Assist with audit queries and ensure the implementation of audit recommendations related to fundraising activities. Organise and attend meetings with NHS staff, prepare agendas, take notes, and issue action minutes.
Maintain spreadsheets for annual budget figures and future planning in collaboration with the Head of Fundraising and finance team. Assist with maintaining and segmenting the supporter database for mailouts and, where necessary, update social media platforms with news and events. Implement and maintain standard operating procedures for administration tasks, proposing improvements where needed. Working as part of a Team The post holder will work closely with finance, the Communications Team and Volunteering Team to deliver efficient and effective fundraising activity.
The post holder will engage staff from across the Trust in supporting the Charity in fundraising activity. Managing Self Participate in regular supervision. Attend all mandatory training. Participate annually identifying, developing and agreeing your own development plan with your line manager using the Trust Appraisal process.
Comply with all Trust policies, procedures and protocols. Pay regard to materials and equipment. Carry out duties with due regard to the Trusts Equal Opportunity Policy. Seek advice and support from your line manager whenever necessary.
Staff Supervision & Support Provide support to your direct reports and team members around their personal health and wellbeing. Financial Responsibility Responsible for the collection of donations and cash handling. COMMUNICATION & WORKING RELATIONSHIPS Work with a broad range of stakeholders to engage on charitable activity. Maintain good working relationships across the organisation ensuring good internal visibility of the Charity and improving awareness.
Develop productive working relationships with national and local charities, including local Friends of organisations. SPECIAL WORKING CONDITIONS Some working outside of office hours will be required, with time off in lieu of return. Manual Handling Manoeuvre light goods and equipment in accordance with manual handling regulations and good practice. Training and Personal Development Continuous Professional Development The jobholder must take responsibility in agreement with his/her line manager for his/her own personal development by ensuring that Continuous Professional Development remains a priority. The jobholder will undertake all mandatory training required for the role. Patient and Public Involvement All staff will be expected to comply with S.242 of the NHS Act 2006. Respect for Patient Confidentiality The jobholder should respect patient confidentiality at all times and not divulge patient information unless sanctioned by the requirements of the role.

All clinical staff must ensure rigorous and consistent compliance with standard infection control precautions including Hand hygiene, dress code and use of personal protective equipment and other clinical care policies and protocols applicable to infection prevention and control.
Employees are required to challenge poor performance or poor practice in relation to infection prevention and report any breaches using relevant Trust procedures such as the Incident reporting system.
