FWDthink is seeking an experienced Clerical and Administrative Support Assistant to join our innovative and growing company. In this role you will provide clerical and administrative support on a to an organization with a formalized structure. Interaction with general officers (or equivalent) and industry executives may occur. As such the right candidate will be familiar with the federal government and military culture, customs and courtesies and have strong oral and written communication skills and understand agency-related processes.
The Clerical and Administrative Support Specialist will be aiding the assigned headquarters organization on a Digitalization project with an end-goal of complete digitalization of all case records by scanning into a data system, creating case files, reviewing records, book marking, and preparing envelopes for mailing.

Responsibilities:
- Preparing and developing correspondence, reports, memorandums, presentations, and other forms of communication for distribution across various organizations as directed.
- Reviewing correspondence for signatures from members of assigned staff, the supervisor, or other senior managers for proper format;
- Review conformance with procedural instructions, grammar, typographical errors, accuracy, and necessary attachments.
- Properly monitor and track correspondence as required in approved databases to ensure that all assigned suspense requirements are met. -
- Distribute correspondence to all individuals in accordance with approved guidelines and processes.
- Planning, coordinating and organizing events/meetings (on site) for assigned headquarters organization.
- Responsible for securing facilities, submitting presentations as required by supported staff within the prescribed time frame.
- Secure necessary equipment (projector, computer, etc.) to conduct briefing.
- Operate equipment (projector, computer, etc.) as required.
- Take attendance at meetings as necessary.
- Draft and distribute meeting minutes as necessary.
- Final decisions on events remains with the Government.
- Monitor a broad range of communications in order to make scheduling determinations and recommendations to assigned headquarters organization.
- Within 60 days, attain a thorough understanding of the mission, objectives, and organizational structure (on and off-site; Federal and contractor) of the office to which assigned, in order to better interface and facilitate communications with others.
- Draft meeting minutes, create slides for meetings, conferences, etc., maintain assigned files and record systems in accordance to the approved guidelines, schedule and maintain a calendar of assigned meeting space within the organization, scan case records into data system, creating case files, review and bookmark records, prepare envelopes for mailing and all other duties as assigned.
