Description:
THE POSITION
We are looking for a meticulous and proactive Clerical Assistant 1 to become part of our team. In this role, you will be essential in managing document imaging as a scanning operator for Driver and Vehicle Services. Your responsibilities will include processing image transactions to maintain both physical and electronic records in the Enterprise Content Services (ECS) Retrieval System, as required by the Motor Vehicle Code. Additionally, you will assist with storage for the PSP project, which involves organizing work by date, assembling record center boxes, properly storing and dating boxed materials for future access, and preparing boxes for transport. This position is ideal for an organized person who excels in a dynamic work environment.
DESCRIPTION OF WORK
In this position, you will be tasked with the preparation and processing of documents associated with Driver and Vehicle Services for imaging, employing an OPEX Falcon Scanner. It is crucial to examine the documents for any foreign materials, such as staples or paperclips, prior to scanning them in accordance with job specifications and placing them on the conveyor. Following the scanning process, images are submitted according to established protocols, and completed batches are systematically organized on designated carts or shelves. Adjustments for clarity are made as necessary, and if re-scanning or removal is needed, the machine is halted to adhere to the proper procedures. Documents are sorted into appropriate bins, and all scanner components are maintained in a clean condition. Daily reports are generated to outline the type of work performed, time invested, and the number of documents scanned. Additionally, you will identify and execute minor equipment repairs and oversee the PSP storage process for Pennsylvania title work, arranging documents into record center boxes. Each box is labeled with a report detailing its contents, utilizing Julian Date and Operator ID numbers. Upon completion of a box, the lid is secured, and it is stored alongside similar items for a duration of one month. After this timeframe, the supervisor will instruct the employee to label the boxes according to a provided list and stack similar items on skids for transport to the storage warehouse. When a skid is filled with 40 boxes, it is secured with shrink wrap or bands and relocated to a designated holding area.
