JOB DESCRIPTION

Reporting Relationship: Head of Human Resources
Purpose of Job: To effectively coordinate the daily administrative functions and responsibilities assigned to the role. To liaise/communicate proactively and responsively both internally and externally thus ensuring an efficient service level is maintained.

CONDITIONS:

  • The Job Description forms an integral part of the Contract of Employment, together with the Association’s Staff Handbook.
  • To engage with and use the technology systems and packages provided by the Association to support day to day work and future planning needs.
  • You will receive support and supervision from your line manager regarding your day-to-day work through the Supervisory Support Process in place in the Association.

Responsibilities:

QUALIFICATION & REQUIREMENTS FOR THE ROLE

  • Leaving Certificate mandatory
  • Administration Qualification desirable
  • Minimum 3 years previous experience of working in a busy administration role is required
  • Experience of working in Human Resources/Recruitment role is preferable
  • Competent and proficient in the use of MS Word / Excel & Databases
  • Experience working with Applicant Tracking Systems an advantage
  • Confidentiality is a key requirement for this role
  • Ability to work under pressure to meet deadlines
  • Attention to detail is essential
  • Be a good communicator
  • Ability to work on own and as part of a team

MAIN DUTIES & RESPONSIBILITIES:

  • Maintaining the administration element of the recruitment practice in the association, including but not limited to:
  • Preparation of adverts
  • Placing adverts on various platforms and social media
  • Tracking applicants
  • Preparing files for hiring managers for shortlisting and interviews
  • Scheduling interviews and engagement with candidates as necessary
  • Overseeing on-boarding requirements for successful applicants and preparing files to contract stage in the recruitment process
  • Keep data recorded on relevant recruitment systems to allow data analysis required
  • Provide reports to the Recruitment Lead as required
  • Maintain effective records system in line with FOI Act
  • Develop and maintain database systems to support service delivery
  • Ensuring accurate attention to detail and consistent adherence to procedures within areas of responsibility
  • Ensuring deadlines are met and service levels maintained
  • Provide necessary support in relation to HIQA/New Directions and other regulatory bodies where required
