Description:
DUTIES AND RESPONSIBILITIES To be responsible for the clinic preparation for blocks of clinics, ensuring that these clinics are prepared on time for patient attendances. To be responsible for ensuring that 100% of all necessary paperwork required for the clinic is achieved. Adhere to all written instructions on the clinic outcome forms with regard to completing blood forms. Maintain a master template of bloods required for each clinic.
To ensure all paperwork for clinics are in good order. To support the Medical Secretaries to manage clinic appointments, including amending appointments and making urgent follow-up appointments on Careflow. To complete scanning of documents into patient record as requested. Assist secretarial teams with outgoing correspondence when necessary.
Undertake general clerical tasks and support for the Support Manager, Assistant Service Manager and Medical Secretaries and Support Secretaries to contribute to the smooth running of the team. To help cover during exceptionally busy periods, for annual leave and sickness for other Clerical Officers whilst maintaining their own role. To work on ones own initiative as well as part of a team. To have a good knowledge of Health Records systems, CWP and Careflow.
To have the ability to communicate with all medical staff, research nurses, medical secretaries and other hospital departments. Contribute to the training of new members of staff as required. Work with managers and administrative staff to review working practices, identify new improved ways of working, find solutions to problems and improve quality and range of services. To have a good understanding of the different specialties and some knowledge of the treatment pathway that the patients follow.
To pull patient notes and create new case notes for new patients, when requested. To communicate with all service users with empathy, tact and diplomacy.
