JOB SUMMARY:

In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position. The Clerk, Child/Adolescent Mental Health schedules and books patient appointments and provides clerical support in the intake process for the multidisciplinary team using computerized equipment. Performs word processing and various clerical tasks in the area, including receptionist duties such as answering telephones and greeting patients and families in accordance with established standards, policies and procedures.

QUALIFICATIONS:

Education, Training and Experience

  • Grade 12 and two year’s recent related experience or an equivalent combination of education, training and experience.

Skills and Abilities

  • Ability to keyboard at 45 wpm.
  • Knowledge of medical terminology.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to organize work.
  • Physical ability to carry out the duties of the position.
  • Ability to deal with others effectively.
  • Ability to operate related equipment.

Responsibilities:

1.Schedules patient appointments and books follow-up appointments, ensuring appropriate date, time and location are provided. Adjusts arrangements in accordance with patient and departmental requirements.
2.Screens referrals received in the department for necessary information according to departmental requirements and criteria identified by the program. Gathers additional information as necessary by phoning either the referral source or the patient. Enters patient demographics and other relevant information into departmental database and generates intake form from database.
3.Processes patient registrations by documenting and/or collecting patient information on registration forms. Receives patients upon arrival into the area, ensures patient demographics are accurate by confirming with the patient or guardian and advises appropriate professional that the patient has arrived. Files completed and accurate forms once the above information is obtained.
4.Processes accepted referrals as directed by staff by entering and sending out patient questionnaires, booking appointments. Maintains computerized list of patients re-directed to the community by keeping updated records in the patient database.
5.Retrieves and returns charts to Health Records as required.
6.Types and/or transcribes technical and non-technical material such as correspondence, reports, statements and memoranda from handwritten drafts, revisions or dictating machines, as required and assigned multi-disciplinary team. Distributes as directed by the CNC.
7.Composes and signs correspondence such as form letters as directed or drafts correspondence for review and signature.
8.Arranges meetings as directed, books meeting rooms, types and circulates notices and agendas. Records, transcribes and distributes notes or minutes or meetings.
9.Answers telephones, handles inquiries by providing information and/or redirecting to appropriate personnel. Processes incoming and outgoing mail and arranges for courier service as directed.
10.Performs other related duties as assigned.
