Description:
MINIMUM QUALIFICATIONS:
Education: High school diploma, or G.E.D. equivalent. Each additional year of approved formal education may be substituted for one year of required work experience.
Experience:Three (3) years of experience in a clerical position including supervisory experience.
License/Certification: Applicant must possess a valid driver’s license. The applicant’s Motor Vehicle Record (MVR) must meet the minimum standards as established by the hiring agency.
Responsibilities:
Assists with the preparation of payment documents charged to Bureau accounts.
Reviews accounting documentation for financial accuracy and monitors expenditures charged to Bureau accounts and individual projects.
Reconciles Department financial records to provide project financial tracking and budget control of specific Bureau projects by developing and utilizing independent spreadsheets, as well as Department and State project and financial management software and tools.
Develops and maintains detailed records and legal documents related to Bureau assets and operations.
Prepares detailed reports on capital equipment and income and expenditures used to inform public and elected officials and to assist the Bureau in implementing annual work programs.
Utilizes Department’s financial recordkeeping system to calculate and prepare invoices for leases, contracts, licenses, revenue-based user fees and other uses of state-owned property and equipment.
Supervises other employees performing similar clerical work in the Bureau.
Maintains Bureau files and records necessary to comply with Department requirements and policies.
Performs general support functions for the Bureau, as needed, and includes preparation and processing of correspondences, coordinating the inventory and purchasing of office supplies, reviewing employee leave and payroll activities, tracking bureau training and inventory, answering general telephone and email inquiries and redirecting to staff as appropriate, and assisting other Bureau staff with projects and tasks when required.
