POSITION SUMMARY
The People Services Clerk plays a vital role in providing clerical and customer service support to the People Services department, ensuring smooth operations and a positive experience for employees, leaders and external partners. With a focus on supporting internal recruitment, this role ensures timely and accurate processing of these tasks while delivering excellent customer service. Additionally, the People Services Clerk will contribute and actively participate in People Services corporate projects, focusing on department improvements and customer satisfaction.
QUALIFICATIONS
Education:
- Post-secondary diploma in Business or a related discipline required.
- A Human Resources diploma/degree or post-graduate certificate preferred.
Experience:
- Previous experience in a Human Resources or People Services role with a focus on customer service preferred.
- Experience in a healthcare or hospital setting is an asset
Competencies:
- Demonstrated advanced computer skills, particularly in MS Office.
- Demonstrated exceptional communication skills, both written and verbal, with an emphasis on service-oriented interactions.
- Demonstrated initiative and sound judgment in problem-solving and decision-making, always considering the customer’s perspective.

Responsibilities:
PRIMARY RESPONSIBILITIES:
General People Services & Office Support:
- Provide responsive and courteous customer service to all OSMH team members and external partners.
- Respond to employee and manager inquiries, offering assistance or redirecting as needed to ensure quick and accurate resolution.
- Prepare and process new hire, transfer, and termination paperwork following the established process and ensuring smooth transitions for staff.
- Maintain accurate employee records, including updates to personal and employment information, with a focus on privacy and confidentiality.
- Enter and maintain employee information in the HRIS and other tracking databases, ensuring data integrity.
Recruitment Support:
- Administer daily tasks in the eRecruitment system, including tracking and processing job postings and applications.
- Provide a welcoming and professional candidate experience throughout the recruitment process.
- Schedule interviews, coordinate room bookings, and assist with interview logistics.
Project Support:
- Assist in supporting People Services projects that focus on improving employee engagement, process efficiencies, and customer service.
- Supports the People Services team in attaining project timelines and deliverables, contributing to the successful implementation of new initiatives.
- Work closely with the People Services team colleagues to identify areas ongoing opportunities for continuous quality improvement across the TeamPeople portfolio.
Policy and Procedure Communication:
- Maintain a strong understanding of People Services related legislation, collective agreements, and hospital policies to provide accurate information to team members and leaders.
- Proactively assist leaders and employees by directing them to appropriate policies and procedures, always aiming to resolve inquiries in a timely and helpful manner.
- Redirect complex inquiries regarding policy or legislation to the appropriate People Services team member, ensuring follow-up and resolution.
Performs other duties as may be assigned by the direct manager.
