This is a moderately complex clerical role which reports to the Manager Administrative Support, Corporate Services. The confident and responsible incumbent should be comfortable working independently on an extensive range of clerical duties and tasks; and typing related work for a large team. Duties include and not limited to assigning and reviewing the work of one or more subordinates; engaging in daily routine tasks of some complexity; typing and preparing a variety of material such as correspondence, lists, routine and non-routine letters, memos, permits, licenses, records, reports, legal documents from draft; preparing presentations; filing; reception related work; opening, reading, sorting and distributing mail and correspondence; responding to internal and public enquires in person, by phone, by email and by mail; reconciling, processing and reviewing travel and training expenses, applications, invoices and subscriptions; preparing shopping carts in SAP for expenditures, compiling and condensing non-technical statistical data from uniform sources; participating, initiating, and managing departmental projects; proof reading materials for grammatical and spelling errors; producing meeting agendas and minutes; and ensuring routine City processes and policies are followed. Performs related work as required.
Qualifications include up to high school graduation, including or supplemented by courses in typewriting, word processing, and courses related to clerical work; and considerable experience as a Clerk Typist 2; or an equivalent combination of training and experience. Thorough knowledge of business English, spelling, and punctuation; arithmetic; and of modern office practices and procedures. Ability to assign and supervise the work of one or more subordinates engaged in a variety of routine office duties; to understand, interpret and provide oral and written instructions; to set up, type and use a word processor to produce moderately complex statements, reports, lists and documents required in the operations of the department concerned; to successfully and effectively interact with the public in interpreting and explaining departmental rules and regulations; and the ability to work well in a team environment. Skill in the operation of common office equipment and in common office practices; and in typing rapidly and accurately. Knowledge of SAP and a valid BC Driver’s Licence is an asset.
