POSITION SUMMARY:

To make a positive contribution, enabling Griffith Foods Canada to continue to grow and operate in an effective, efficient and profitable manner. Support and assist in growth sales of all products produced by Griffith Foods Canada.

QUALIFICATIONS:

  • Specialized training in a recognized Community College program, preferred.
  • Experience: More than 1 year, but less than 3 years.
  • Must be proficient in Word, Excel, PowerPoint & Outlook.
  • Excellent communications and inter – personal skills.
  • Ability to work in a fast-paced environment.
  • Ability to work independently and within a team environment.

Responsibilities:

  • Reports directly to the Manager, Client Services of Griffith Foods Canada on an ongoing basis and communicates all relevant matters pertaining to Client Services, including, and not limited to sales orders, production requests, client complaints, inventory discrepancies.
  • Deals effectively and efficiently with all clients (internal and external) of Griffith Foods Canada in ensuring optimum service at all times.
  • Ensures all relevant information is received for purchase orders (i.e., leadtime, safety time, transit time, product codes) and that P.O.’s are entered into Dax and updated in EDI (if applicable).
  • Confirms Purchase orders to clients, follows up on orders, processes order changes (i.e. ship date, quantity, ship method, etc.) and informs/negotiates with internal depts. Confirms changes with customer.
  • Monitor daily reports regarding affected client orders i.e. (Open Order Summary, Batches on Hold, CSR Final Report, etc.). Advises clients accordingly and works on solutions with client and other depts.
  • Informs clients of backorders and negotiates with production and purchasing for better revised ship date and expediting of the required raw materials.
  • Processes Client sample requests.
  • Processes Client complaints.
  • Maintains daily backorders, order Fill Control reports and investigates late and short orders.
  • Assists clients with Pricing discrepancies/inquiries and co-ordinates credit requests with credit department.
  • Co-ordinates Client requests with corresponding departments: COA’s, certificate of origin, specifications, nutritional, range formula, ingredient declaration, Halal certificate, kosher certificate, pricing, certificate of manufacture, product inserts, FBM requests RMA’s, letter of guarantee & MSDS etc.
  • Creates and maintains fax/e-mail order forms for customers.
  • Creates and maintains order processing pages to ensure all contact information and customer special requests are up to date.
  • Co-ordinates Export & Overseas shipments where required.
  • Provides Proforma Invoices, weekly inventory reports to clients where required.
  • Conducts French translations where applicable.
  • Provides warehouse coverage & forklift operations where applicable.
  • Updates Account Director with foreseeable issues or concerns regarding clients.
  • Attends monthly client service meetings; Attends client meetings with sales representatives where applicable.
  • Provides coverage for other Client Service Representatives within a team environment, as needed.
  • Takes on new challenges where required; is adaptable.
  • Participates in special projects, other duties or tasks that may be assigned as required.
  • Ensures the health, safety, cleanliness, and security of the work environment.
  • Ensures compliance with all product safety, legality, and quality requirements.
  • Understands and complies with all company policies and procedures.
