The Role
Working remotely, and 1x per month in the Calgary office, we are seeking a bright and results-driven Client Services Administrator who will provide a critical role as the key interface between our clients and our appraisers.
One part client concierge, one part appraiser support system, one part admin guru, the Client Services Administrator will be hands-on and integral to the growth of the company as we expand our operations across Canada. This role is the perfect fit for someone who enjoys administrative duties and working directly with clients, and also has strong attention to detail, excellent communication skills and a passion for delivering first-class customer service.

REQUIRED EDUCATION AND/OR EXPERIENCE

  • Administration certificate or equivalent
  • Minimum of 3 years of office administration experience

SKILLS AND QUALIFICATIONS

  • Excellent organization and communication (verbal & written) skills
  • A passion for customer service and exceeding client expectations
  • Ability to work independently with minimal supervision as well as part of a team
  • Excellent attention to detail
  • Ability to meet deadlines without compromising quality or accuracy
  • Exceptional time management skills and the ability to handle multiple tasks
  • Thrives in a fast-paced, high volume environment that is growing and changing
  • Strong analytical and problem solving skills
  • Ability to work well under pressure while maintaining a friendly and positive attitude
  • Proficient in MS Office, Outlook, especially in Excel and Word
  • Experience using CRM software and Quickbooks (accounting software) is an asset

Responsibilities:

  • Prepare and follow up on proposals and quotes for new business
  • Communicate with clients over phone/e-mail in a timely and professional manner while providing the information they require and resolving their needs
  • Distribute appraisal reports and updates in a high volume environment
  • Schedule and coordinate property inspections
  • Perform follow up phone calls to clients regarding renewals to maximize client retention
  • Organize and maintain the company database of information in the CRM software
  • Learn, understand and utilize new automation procedures as they are rolled out
  • Create invoices for clients
  • Establish a strong rapport with clients and colleagues
  • Work with the team to ensure that monthly report deadlines are being met
  • Collaborate with the team to continually strive to increase efficiency
  • Create customer loyalty by going above and beyond to ensure customer retention and new business development
  • Uphold Normac customer service to the highest standards
