Description:
POSITION SUMMARY:
Responsible for assisting the Head of Operations and Facilities Manager in the day to day running of Company 3’s Vancouver office. We are looking for an Operations & Client Services Representative who has a passion for delivering the highest levels of service to clients and employees. The ideal candidate will be friendly, welcoming, confident, professional, and approachable with strong interpersonal skills and excellent customer service skills. They will have previous experience in a high-end hospitality role. Attention to detail will be crucial to ensure consistency and the effective and timely set up of our client-facing areas, meeting rooms and event spaces. You will be expected to support the Client Services and Operations team in the day-to-day planning and organization of client meetings, internal and external events, assisting the execution of our hospitality offering.
Responsibilities:
MAIN DUTIES:
The Client Services Representative will assist the Client Services team with day to day running of all client meetings and events. They will ensure all the suites and meeting rooms on the client floors are set up and be the main point of contact for all client visits while ensuring security protocols are followed. They will ensure that all client requests are completed in an efficient and timely manner, set up and cater for client lunches, and serve clients and producers refreshments and food in review suites on a daily basis in a polite and friendly manner. They will also be responsible for the following:
- Manage and keep a record of stock
- Handle all incoming calls
- Complete accurate expense reports
- Provide administrative duties
- Organizing and assisting with Social Activities and events for staff
- Look after the kitchens and common areas located on every floor on a regular basis, making sure they’re clean & tidy and stocked with the necessary essentials for staff.
The ideal candidate will have previous experience in a hospitality, client facing role, as well as prior experience in a fast-paced environment. They must be creative, organized and competent with admin-based work, and have a passion for delivering the highest levels of service with a desire to learn and work hard. Additional desired skills include:
- Ability to think on their feet and adapt to ensure last minute requests are executed in a timely and efficient manner
- Ability to work effectively and have a pro-active approach to tasks
- Confident, outgoing, friendly with a can-do attitude
- Previous training in food hygiene and/or food service is a plus
- Knowledge of relevant health and safety regulations is a plu
