Description:

The Clinic Administrative Officer (CAO) is responsible for supporting the Head (Clinic Services) with a smooth running of the clinic reception. The CAO ensures all administrative processes are efficiently and meticulously prepared, attends to enquiries from public, and maintaining the clinic’s inventory and stock.

The responsibilities include and are not limited to:

  • Updating and maintaining the clinic’s filing and appointment systems.
  • Maintaining updated records for all administrative processes (e.g. sterilisations, micro-chips, notification letters etc)
  • Managing daily client transactions and settlement reports.
  • Handling of purchases of clinic drugs and medical supplies in compliance with proper procurement processes.
  • Updating and maintaining the inventory and preparing monthly reports and stock sheets
  • Monitoring and maintain all purchase orders for procurement and ensure compliance to all financial guidelines
  • Issuing vouchers for special schemes
  • Managing and registering customers at the clinic reception and handle general enquiries via telephone or in person in a professional manner.
  • Providing timely updates and notifications to adopters of SPCA’s animals.

QUALIFICATIONS AND REQUIREMENTS

  • Excellent communication skills and fluency in written and spoken English.
  • Strong administrative and IT skills.
  • Meticulous and detail oriented.
  • Strong interpersonal skills and excellent customer service delivery.
  • Experience in data entry and database management is an added advantage but not compulsory
