In addition, the College and Career Administrative Assistant will:
- Coordinate
- College Visit Scheduling and College Info Session (Rep Visits) Scheduling
- Includes checking scholar schedules, creating passes, and maintaining a log of attendees
- Ad hoc visits from alternative pathway programs (including, but not limited to, CityYear, YearUp, Electric Boat, Army National Guard, etc.)
- Assist in coordinating scholar and family appointments via the calendly sign-up link and/or the appropriate quarterly conference scheduling mechanism.
- Communicate
- Complete initial drafts (to be reviewed and finalized by the Director of High School Innovation and Post-Secondary Planning)
- Family Communication
- Parent Square, Emails, Phone/Text Outreach (either initial or confirmation) - (from templates provided by the Director of High School Innovation and Post-Secondary Planning)
- Scholar Communication
- Grade-Level Specific Emails (from a template provided by the Director of High School Innovation and Post-Secondary Planning)
- “Five Minute Meetings” for info and data collection
- Complete and upload an agreed-upon number of social media posts (from a template provided by the Director of High School Innovation and Post-Secondary Planning).
- Assist in maintaining internal communication strategies, including maintenance of a college and career informational wall
- Support
- College and Career related after-school/family programming
- Including, but not limited to, attendance at the majority of events, pre-/post-event set-up, maintaining a log of attendees, and initiating confirmation and follow-up communication as necessary.
- Accurate Data-entry on scholar forms and applications
- Including, but not limited to, FSA ID creation and initial common app and CCRI informational sections.
- Organize/Manage
- Database (both internal and via the Individualized Learning Plan-approved system)
- Including supporting updating student demographic information, student GPA-level information, maintaining current Transcripts, and supporting streamlining the database of college applications and scholar meetings
- Senior Events
- Work with the Director of High School Innovation and Post-Secondary Planning, Associate Director of Communications, Dean of Operations, and the Office Manager to order all necessary materials.
- Other duties as assigned by the Director of High School Innovation and Post-Secondary Planning
This is a part-time hourly position created for the 2024-2025 school year. This position will report directly to the Director of High School Innovation and Post-Secondary Planning, who assumes all responsibility for training and ongoing coaching and supervision.
Qualifications:
- Fluency in English and Spanish, both written and spoken, is required.
- Strong organizational skills with the ability to manage multiple calendars and schedules.
- Excellent interpersonal and communication skills to interact effectively with diverse populations of scholars, families, visitors, and stakeholders.
- Ability to handle confidential and sensitive information with professionalism and discretion.
- Associates degree or demonstrated relevant experience with the college admissions process.
Compensation:
BVP offers competitive compensation commensurate with experience in a similar position. Compensation for this role is $20/hr. This position is expected to work approximately 20 hours per week.
