Description:
JOB SUMMARY
The Communications Specialist is primarily responsible for operating the Microsoft telephony software, Microsoft Teams and other associated equipment to receive, transfer and transmit calls, transmits messages. Reporting to the Assistant Director of Office of Information Technology, this position is the primary initial contact and representative of the University to the public.
QUALIFICATIONS (EDUCATION, EXPERIENCE AND SPECIALIZED TRAINING)
- Associate’s degree with five (5) years of telephone experience or an Undergraduate Degree in any discipline with three (3) years of telephone experience.
- Three years of experience in the telephone system in a customer service area.
- Strong verbal communication skills and welcoming demeanor and tone of voice.
- Intermediate level technical computer skills (MS Office Suite) to be able to work and communicate effectively with advanced customers and technical support staff.

- Ability to work/talk patiently, politely with parents, students, faculty, staff, and administration in a higher education environment.
- Ability manages call queue, auto attendant, recording, transcription, transfer between devices.
- High ethical standards and the ability to maintain the confidence of others, while working in a dynamic atmosphere.

Responsibilities:
- Performs related clerical tasks, and performs related duties as required or assigned
- Complete calls to outside lines and transfer incoming calls as required.
- Capture call data and required to run reports daily of calls as assigned.
- Initiate additions or deletions to University internal Telephone Directory.
- Train new part-time or full-time staff, faculty (including Student workers) as assigned.
- Provide caller information for meetings and other special events.
- Review requests for telephone training and assist new staff in telephone system use; including setup Id maintenance of voicemail.
- Complete calls to outside lines and transfer incoming calls as required.
- Distribute, train, and process requests for cellular phones and desk phones.
- Perform other related duties as required
