Equity Team in the Office of the Provost and Executive Vice-President (Academic)
McGill’s Equity Team works to embrace and champion equity, diversity, and inclusion across our institution. Through education and policy development, the Equity Team works to build and sustain a campus community that understands and aims to dismantle the varied social barriers that can stand in the way of access to and success within higher education.
The Equity Team reports into the Office of the Provost and Executive Vice-President (Academic). It is accountable for reporting on its activities and outcomes, in line with EDI-related policies and strategic plans, to McGill’s Senate and Board of Governors through the Joint Board-Senate EDI Committee.
Position Summary
Under the supervision of the Associate Director, Anti-Racism and Equity Education, the student will work closely with members of the Equity Team and event leads to support all aspects of planning, coordinating, and promoting the unit’s events and activities. These include but are not limited to our three key annual events: Queer History Month (QHM) in October 2024, International Day of Persons with Disabilities (IDPwD) in December 2024, and Black History Month (BHM) in February 2025.

Students can expect to gain relevant work experience and develop skills in the following areas:
- Event coordination and promotion
- Print and digital document creation, production, and distribution
- Digital communications, including social media management
- Data tracking and management
Primary Duties and Responsibilities
- Assist in all aspects of event coordination, including booking venues and liaising with venue staff, coordinating catering, and outreach to other vendors such as photographers or childcare providers as needed.
- Prepare and manage documents such as promotional materials, marketing materials, PowerPoints, and drafting emails from templates. Documents may be prepared using Microsoft (e.g. Word, Excel, Forms) or Canva.
- Assist with event promotion and outreach to various stakeholders of the McGill and Montreal community.
- Distribute promotional items, such as posters, leaflets, or other items and maintain a log to track these items as required.
- Provide general assistance at events, including set-up and take-down.
- Collect and enter data into established databases (e.g. lists of registrants and attendees)
- Support with other communication and office tasks as required
Other Qualifying Skills and/or Abilities
- Lived and/or working experience with members of the 2S/LGBTQIA+ communities, Black and racialized communities, and persons with disabilities.
- Heightened knowledge of and/or experience with promoting equity, diversity, inclusion, and accessibility.
- Ability to manage print and web communications, including managing social media platforms (e.g. Instagram, Facebook)
- Ability to demonstrate exceptional organizational skills and show attention to detail.
- Ability to manage multiple priorities, projects, and deadlines.
- Proficiency in Microsoft and Canva.
- Ability to interact with a range of McGill stakeholders in a timely manner.
- Ability to work autonomously and as a member of a team.
- Excellent knowledge of English and French: McGill University is an English-language university where day-to-day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level 4 (Fluent) on a scale of 0-4
- Knowledge of and capacity to translate into French is an asset
- Experience with web design skills is an asset (e.g., WMS, Drupal, HTML).
- Strong knowledge of McGill’s units, faculties, and services is an asset.
