Description:

A company’s office is an essential part of its structure, and Avature is no exception to this, as we take pride in our facilities and how we manage everything around them. As a Company Secretarial Assistant, you’ll play an important role in making sure our headquarter office operations in the UK run smoothly and keeping up to date with the related administrative procedures. Analyzing our processes and providing paralegal assistance is equally important, as we aim to be as efficient as possible and have a positive impact on everyone’s daily activities.

Your challenges and objectives

  • Maintain compliance with legal requirements by completing a range of Companies House Filings, Notifications accurately and efficiently.
  • Document processes for the Compliance & Administration and Office Management teams, to optimize daily work.
  • Ensure that Avature’s operations at the HQ in the UK run smoothly and the administration is up to date.

Your day-to-day activities

  • Run all the administrative operations of our headquarter UK office, ensuring effective communication between the company board/committee members by minuting meetings and preparing detailed agendas and board packs.
  • Collaborate in facility-management activities, such as office maintenance, office security projects, etc. in our office in Victoria.
  • Prepare and organize various legal documents and correspondence with authorities, including KYC (Know Your Customer) files.
  • Identify, design, and document workflows related to compliance and administration processes, and metrics to track their performance.
  • Maintain accurate and up-to-date share register and Anti-Bribery Register, demonstrating meticulous attention to detail.

  • Experience in administrative and paralegal tasks.
  • Adaptable, able to learn new skills quickly.
  • Able to come by the office in London as needed.
  • Excellent communication and organizational skills.
  • Analytical skills and attention to detail.
  • Able to work autonomously and collaborate with a team.
  • Committed, pragmatic, and resilient.
  • Proficient in English. French or German is a plus.
  • Permanent residency in the United Kingdom.
