Title: Compliance Co-ordinator
Reports to: Site Technical Manager
Location: 48 Cox Lane, Chessington, KT9 1TW
Hours of work: 8:00am – 5:00pm Monday to Friday (Office Based)
What is the main purpose of this role?
The Compliance Coordinator will be the custodian of all technical systems that confirm our food safety obligations and commitment are being met for the site, customers and external certification bodies.

What is this role accountable for?

  • Manages, and reviews processes to deliver and continuously improve the company’s food safety and QMS system for Ready to Cook and Raw Ready to Eat.
  • To ensure that correctly documented technical controls are operated within the site and kept up to date with any amendments being issued promptly.
  • Understand and cascade any changes in legal requirements, codes of practices, and industry standards; the impact on sites and QMS, ensuring compliance.
  • Maintaining accurate data collection, identifying trends, and escalating when intervention is required. I.e., complaints out of spec micro, Taste panel, serious complaints.
  • Site contact and management of external laboratories.
  • Monitoring systems i.e., QA checks, GMP audits, Process audits etc ensuring audits are completed to schedule through reporting statistics via Tier 3 and 4 meetings.
  • Control all aspects relevant to compliance (microbiology RA, test results, complaints, non-conformances, Internal Audits, Trends analysis and action plans, etc.) for the site in external third-party audits (EHO, TSO, GFSI). Closeouts on time.
  • Review sampling results, share with relevant people in the business & take appropriate action where necessary.
  • Review of artwork and QMS related documents are made promptly to ensure successful launches.
  • The management of all required customer or site KPI’s at a frequency determined by the customer or site.
  • Factory CADs: Managing through RACI all the activities related to Root Cause Analysis, ensuring actions are implemented and verified with evidence to support. Support when required thorough investigation and root cause identification of quality and safety issues. Where corrective action plans are identified, facilitate the completion and implementation of actions to prevent reoccurrence
  • Be responsible for the preparation of data required used to support customer visits (i.e. customer complaints data, trend analysis, RCA’s, action plans). Capable to present this information to the customer in a professional manner.
  • Responsible for highlighting adverse trends and initiating action plans where required. To ensure that processes are in place that maintain and support authenticity claims.
  • Ad-hoc project work as gaps identified by the Site Technical Manager or Head of Technical.
  • Work with the Site Technical Manager to meet technical objectives.
  • As a member of the factory management team, work in a multifunctional team to provide trends and to support Food Safety Culture.
  • Support team in the Crisis Management Situation, Mock Recalls and data collection.
  • Review of technical documents (raw material, final product specs, SAQs, business site profile etc.) are made promptly to ensure successful launches for Retail and Food Service.
  • For Retailer and Food Service: Communicating the site complaints trends through trend analysis. Confirm and highlight to the Technical Manager where failures have occurred and the action that is to be taken to ensure the results are compliant. Manages complaint data, investigations, and closeouts promptly. Assist in ensuring up to date and accurate records of complaints, ensuring that they are distributed and investigated.
  • Ensure good preparation for successful technical visits (forms completed, bookings, visit/audit agenda flow), administration and hospitality arrangements for Retail and Food Service.
  • Deliver completion against technical strategy and site KPI’s (Retail and Food Service)
  • Provide information and customer requirements for change management (processes, requirements, products).
  • Risk assessment, schedule, training, completion rate, non-conformance close out and RCA quality. Report all findings to the Site Technical Manager. Identify gaps across the whole technical system.
  • Retail and Food Service: Support the new or existing product development process, delivering successful launches on time and in full. Ensure RACI is maintained and updated. Review updated risk assessment, and update when a new species, process, or raw material is new to site commissioning and validation of new equipment. Attend meetings as required and drive the action holders to complete the requirements before launch.
  • As subject matter experts, support the internal deliverance of food safety training i.e. HACCP, and Internal auditing

What experience is required for this role?

  • A degree or equivalent in a Food Science or related discipline
  • Experience within the food industry, Technical and Quality preferable.
  • Knowledge of food legislation, labelling, nutritional and allergen information
  • A strong communicator with a conscientious and diligent attitude
  • Ability to deal with colleagues across all levels and functions of the business
  • Can interpret the technical agenda
  • The ability to be flexible, multitask and work well under pressure
  • An understanding of technical systems including HACCP
  • Proficiency in Microsoft 365 Tools: Excel, Power BI, Power Point and SharePoint
