JOB SUMMARY AND QUALIFICATIONS

The Compliance Standards & Communications Specialist will support the work of the Compliance Standards Manager. This includes: preparing Ethics & Compliance policies for posting and meetings; maintaining online systems related to policies; posting to the E&C intranet and internet sites; drafting and preparing communications and reports released by the E&C department; and providing support for the annual entry for the Ethisphere application.

Serve as a webmaster for Ethics and Compliance internal intranet and external websites.

  • Post policies and resource documents to the sites.
  • Develop review process for posted documents to ensure information is timely.
  • Work with vendor to ensure E&C resources on external cite is ADA accessible.

Support Ethics and Compliance Policy Process

  • Prepare notifications for upcoming policy meetings and releases for the policy packages.
  • Receive policy updates from policy stakeholders.
  • Prepare policies for E&C policy committee review (i.e., format policies ensure supporting documents received).

Prepare and Proof Ethics and Compliance Communications

  • Prepare and review drafts of compliance communications such as newsletter articles, Compliance Alerts and related policy summaries.
  • Support E&C leadership team by assisting with PowerPoints, handouts and special reports.
  • Review and conduct initial edit of Compliance Matters articles.
  • Draft and edit various ECO tools and documents as necessary.
  • Manage E&C Distribution Lists.
  • Prepare shipments for policies, Code of Conduct and other related materials.

Ethisphere – Application process and submission

  • Support Compliance Standards Manager and VP Program Development with the Ethisphere World’s Most Ethical Companies application and documentation.
  • Schedule meetings with stakeholders and track responses to questions for Ethisphere application.
  • Gather supporting documentation for application submission.
  • Draft documents as requested for supplemental responses to application questions.

Support Business Courtesies Log (BC Log), Tokens of Appreciation Tracking System (TATS) and Conflict of Interest applications

  • Work with Application engineers on technical issues raised by users of these systems.
  • Review Help Guides and update systems as needed.
  • Upload data for monthly Conflict of Interest process.
  • Conduct audits of systems.

Education & Qualifications
Bachelor Required
Strong organizational, writing and technology skills. Detail oriented and to manage multiple projects. Microsoft Office/Office 365 products, Adobe Professional
