Description:
JOB OVERVIEW:
The Compliance Team Supervisor will serve as the Supervisor of and committee liaison for the Compliance Team by directing the community’s enforcement processes upholding the Governing Documents and community standards. To be an active supporter of the community vision and philosophies, and FirstService Residential’s commitment to client, staff and community. As a result of job performance, will promote client retention, employee retention, and the advancement of the client in terms of its image, visibility, and reputation.
SKILLS & QUALIFICATIONS:
- Have experience in community/property management and/or a closely related field.
- Possesses exceptional customer service experience.
- Excellent written and oral communication skills and customer service skills.
- Must be able to handle multiple tasks.
- Must be able to handle deadlines and pressure of the position.
- Must be proficient with Microsoft Office, including Word, Access and Excel at an intermediate level.
- Must have reliable transportation; possess current California driver’s license and the current state mandated vehicle insurance.
- Must have the ability to effectively communicate with the Board, vendors and clients, verbally and through written correspondence.
- Must be detail oriented with an emphasis on quality and accuracy.
EDUCATION & EXPERIENCE:
Must possess a high school diploma. College degree is preferable. Demonstrated experience in customer service required. Experience in conflict resolution and de-escalation preferred.

Full time position—Monday through Friday, 8:00 a.m. – 5:00 p.m. Must be able to work some evenings as necessary to manage Team workload and attend meetings. Consistent and regular attendance required. Requires driving, must have a valid driver’s license.

Responsibilities:
YOUR RESPONSIBILITIES:
- Maintains a positive working relationship with the General Manager, AGM and Maintenance Manager, responsible for the overall management functions of the association.
- Ensures adherence to association policies and procedures, and compliance with corporate, civil code, and state and federal obligations.
- Has direct reporting responsibility for up to two (2) Associates, including directing work, approval of time sheets and requests for time off, and overseeing Compliance Team day to day operations.
- Supports and assist in hiring, training and supervising all direct or indirect staff in accordance to FirstService Residential policies.
- Works with the AGM and is responsible for the training, counseling and professional advancement of staff under your responsibility.
- Completes and maintains current reference notebooks containing all necessary information, Governing Documents, and Civil Code to properly and effectively support the Community Standards for the association.
- Interacts and follows up with homeowners, contractors, and Security regarding enforcement matters.
- Assess and monitor community needs: identify opportunities for improving service delivery methods and procedures which would increase operational effectiveness and efficiency.
- Prepares for and attends monthly Hearing Committee meetings as designated by association requirements.
- Oversight responsibility to ensure Hearing Committee meeting minutes are completed accurately and filed per the Civil Code.
- Maintains accurate and complete records in the Association shared drive and in Connect as required.
- Conduct fair and unbiased investigations of complaints submitted by verified Association Members.
- Perform routine and spot compliance drives to ensure all homes are maintained within the Association’s standards.
- Document, track, and update violations within Connect.
- Send written correspondence and notices via letters and emails.
- Attempt to resolve violations within allowable time frames and parameters.
- Conduct follow-up activities for open violations and close out corrected violations or other items as needed.
- Interact with homeowners regarding enforcement items and the enforcement processes.
- Follow the proper compliance procedures as outlined in the Association’s governing documents, policies, and as otherwise directed.
- Attend all mandatory company functions and professional industry trainings.
- Utilizes technology as applicable to perform job functions and publish communications to the membership.
- Must work effectively with co-workers, customers and others by sharing ideas in a constructive and positive manner; listening to and objectively considering ideas and suggestions from others; keeping commitments; keeping others informed of work progress, timetables and issues; addressing problems and issues constructively to find mutually acceptable and practical business solutions; addressing others by name; title or other respectable identifier, and; respecting in the diversity of our workforce in actions, words and deeds.
