WHAT EXPERIENCE, QUALIFICATIONS AND SKILLS ARE WE LOOKING FOR?

  • Previous experience in a similar role essential
  • Fully conversant preferred with Microsoft Office including, Excel, Outlook and coins
  • Excellent communication skills both written and verbal
  • Experience in managing and prioritising multiple tasks

Responsibilities:

WHAT IS THE ROLE?

We are excited to be recruiting a Construction Secretary to join the Construction Team. This role reports to the Construction Director.
The purpose of this role is to assist the Construction Director by providing comprehensive secretarial support in a range of administration duties to ensure smooth running of the construction department developments and Directly employed staff.

THE ROLE WILL INCLUDE:

  • Producing letters on a range of employee matters, arranging meetings, taking minutes, responding to emails and managing the Construction Director’s diary.
  • Assisting members of the Public, Employees, Senior Management and Board Members effectively and efficiently thereby maintaining the highest standard of customer care and resolving queries to a satisfactory conclusion.
  • Maintaining the Construction Departments holiday records
  • Registering plots on the NHBC portal and being the main point of contact for enquiries
  • Maintaining weekly absence sheets
  • Liaising with Apprentice Manager regarding Apprentices, keeping their records up-to-date and coordinating annual pay increases
  • Liaising with Contract Managers and Site Managers informing them of any accidents or incidents on site
  • Updating open Health & Safety and IQC issues
  • Ensuring the Persimmon Way checklist app is updated by Sites
  • Arranging internal and external Health & Safety courses for site staff and updating training matrix
  • Coordinating CSCS cards for site staff
  • Ensuring the Health & Safety Policy and Procedures are up to date
  • Preparing and maintaining the Health & Safety filing system and personnel files for weekly and site management staff
  • Updating build progress on to COINS
  • Running weekly reports for Managing Director and Construction Director.
  • Monitoring green cards/CMLs
  • Generating trackers for monthly CMLS
  • Updating COINS with build programmes
