POSITION OVERVIEW:

CIBT Liaisons are responsible for providing best-in-class submission and retrieval of time-sensitive confidential documents and passports to the Consulates. To ensure success, Liaisons build strong working relationships with CIBT teams and Consulates. Our Liaisons are the face of CIBT to the Consulates, acting as brand ambassadors by delivering service excellence.

REQUIREMENTS:

College degree or Associates Degree with two years’ experience or equivalent combination
Highly desirable: 1-3 years’ experience in travel, hospitality or embassy/consulate relations
Fluency in written and spoken English; highly desirable: fluency in second language(s)
Exceptional communication and interpersonal skills; strong client service mentality
Strong organizational and time management skills; ability to meet strict deadlines and to adapt to changing circumstances and prioritize work accordingly
Reliable self-starter with desire to show ownership and commitment to role
Proficient computer skills

Responsibilities:

Point of contact and the face of CIBT to the Consulates, maintaining a professional and productive relationship; act as CIBT brand ambassador
Develop full understanding of travel document requirements
Review applications prior to submission, ensuring applications are accurate and free of errors
Submit applications to Consulates and pick up finished passports; adhering to the appropriate drop off and pick up procedures and Consular etiquette
Point of contact between Consulates and CIBT
Keep CIBT apprised of any issues or concerns with Consulate
Proactively communicate Consulate closings or change in hours
Provide timely updates on pricing changes/discrepancies and new requirements
Work closely with CIBT teams, updating immediately on any issues with applications and files
Develop complete familiarity with traffic patterns and area, coordinating routes to ensure efficiency and priority deadlines; collaborate with team to ensure coordination of deadlines
Adhere to all Standards of Work and procedures; maintain daily log, itineraries, daily status updates, consular manifest, etc.
Adhere to appropriate expense and cash handling policies; ensure appropriate documentation procedures and reporting are maintained
Take ownership and proactively adapt communication method to align with Consulate and customer needs, instilling confidence and building a strong working relationship
Stay abreast of all product/service enhancements, system updates, and changes to requirements
Maintain strict client confidentiality, ensuring secure document handling and protection of client Personal Identifiable Information (PII) and all other data
Complete all work in strict compliance with law, regulations, and company policies, supporting CIBT’s strong ethical culture
