EDUCATION, EXPERIENCE AND SKILLS

Completion of a diploma or certificate from a recognized post secondary institution in Administration and minimum of one to three years related experience in the construction industry; or equivalent combination of education and experience.

TECHNICAL AND MENTAL SKILLS

  • Possesses strong communication skills and can build relationships with subcontractors and supplier counterparts
  • Assembles routine reports and correspondence provided by others
  • Defines problems, collects data, establishes facts, and draws valid conclusions
  • Organizes and manages time, duties and activities efficiently
  • Ability to perform routine tasks

Responsibilities:

RESPONSIBILITIES INCLUDE BUT NOT LIMITED TO:

  • Work closely with the Project Manager and Project Team.
  • An in-depth understanding of the contract and its review procedure for the documentation exchanged with the client and supply chain.
  • Assisting construction team in maintaining records and daily reports, as well as advising of gaps between the records and what the contract and subcontracts state.
  • Maintaining a tracker with the notifications, variations, delay notices and compensation events, both upstream with the client and downstream with the supply chain, alerting the operations team of the deadlines to respond in line with the turnarounds set out in the contract.
  • Maintain a dashboard with the variations indicating the status of each of them.
  • Review and assist with design service agreements of subconsultants:
  • Coordinate and assist Project Manager in finalizing all agreements for subconsultants prior to pursuit submission;
  • Work with applicable business lead and legal, support project lower-tier negotiations with consultants, subcontractors, and suppliers;
  • Support project personnel as needed for contract interpretation and execution as needed;

ADMINISTRATIVE TASKS

  • Prepares documentation from the direction of the Purchasing Manager or from approved Site Managers, i.e. general/confidential correspondence, presentations, RFQ’s, Purchase Order Text, spreadsheets, expense reports, etc.
  • Develops and maintain the Purchasing processes in accordance with ISO Requirements.
  • Update, maintain and ensure accurate evaluation of vendor’s listed on the company’s approved vendors list (AVL) in accordance with the Quality Management System (QMS)
  • Assists in the organization and maintenance of paper and electronic file systems, including files that require the utmost confidentiality.
  • Organizes electronic documents and files, including archiving or purging.
  • Develops/tracks Purchasing data, statistics and functionality of processes as required.
  • Schedules appointments and coordinates internal and external meetings.
  • Prepares documentation from the direction of the Purchasing Manager including preparation of various monthly reports. Include statistical information when required.
  • Expedite Subcontracts by preparing, logging, distribution, filing.
  • Maintain regular communication with project sites to support PO tracking through to delivery.
