REQUIREMENTS

  • A minimum of four years’ experience in complex construction projects, ideally within renewable energy, wind, utilities, oil and gas, mining, or other complex infrastructure sectors.
  • Bachelor’s degree in Quantity Surveying, Legal, Contract/Commercial Management, Engineering, Construction Management, or Project Management.
  • Experience in complex major contracts, variation, and extension of time claims, with well-developed contract management skills.
  • Understanding of a variety of contract types with the ability to engage with stakeholders at all levels.
  • Ability to maintain effective and collaborative relationships across diverse stakeholders.
  • Proven ability to exercise independent judgment and problem-solving skills, addressing issues as they arise.
  • Strong interpersonal skills with the ability to engage and negotiate with stakeholders at different levels.
  • Excellent written and oral communication skills with the ability to influence outcomes.
  • High level of accuracy and attention to detail.
  • Self-motivated and action-oriented.
  • Ability to prioritise activities according to changing needs in a dynamic environment.
  • High-level organisational skills, including well-developed priority-setting skills and the ability to meet deadlines with good time-management skills.
  • MRICS (or equivalent) or working towards accreditation preferred but not essential.

Responsibilities:

THE ROLE:

We are seeking a talented and highly motivated Contract Administrator to support our commercial operational readiness for the Squadron Energy Port Kembla Energy Terminal (PKET). The role’s primary purpose is to implement consistent contract administration processes and manage transactional aspects of contract management across the Squadron Energy Operations team.
The Contract Administrator will assist in controlling contract methods and procedures, contributing to reports and assessments to help management make informed decisions that improve project financial performance. This position focuses on maintaining contract processes in line with company policies and guidelines, identifying potential issues, and ensuring variations, claims, and other contract activities are accurately recorded and reported to the Line Manager and wider team.

RESPONSIBILITIES:

  • Assist the Line Manager and commercial team in contract negotiations and drafting, including participating in reviews and negotiations.
  • Manage downstream contract administration, ensuring timely review and issue of payment claims and schedules to maintain SOPA compliance.
  • Prepare upstream progress claims and general sales invoicing for projects to ensure timely submission and minimise WIP balances.
  • Maintain and update payment and variation registers/schedules and contract registers and filing systems.
  • Produce contract-related correspondence and assist with contractual claims, variations, and dispute avoidance measures.
  • Provide commercial guidance on costings and schedules for tender submissions and monitor financial data related to contract performance.
  • Assist with monthly cost recording, processing, and reporting, ensuring all project reports meet company requirements.
  • Conduct site visits to verify subcontractor performance and contract adherence, liaising closely with the site team to manage issues.
  • Communicate progress, forecast information, and any work activities outside the contracted scope to the management team.
  • Support procurement functions, maintaining the procurement register, and ensuring exceptional customer service and effective relationships with stakeholders.
